About The Position

The Recording Department is responsible for ensuring that all recordable documents associated with each transaction are on record with the necessary county or municipality in a timely manner. Recording Specialists must review through each file to ensure that fees are calculated accurately, all necessary recording forms are present & fully completed, and that all recordable documents were received & executed correctly. This requires a quality control check, recording fee verification, payment check requests for non-electronic submissions, and following up to ensure documents are recorded & returned. Members of the department must also be familiar with our electronic recording platform, Simplifile. The Recording Department is also responsible for correcting rejections and communicating as needed with other parties, both internal & external, to ensure documents are re-submitted properly. As a Recording Specialist in our Buffalo location, you will be specifically responsible for the handling & processing of all recordable originals that flow through that office.

Requirements

  • High school diploma required
  • 1 year industry experience required
  • Proficient with Microsoft Office Programs
  • Capability to understand and operate successfully within an action-based workflow system
  • Excellent written and verbal communication skills with a strong attention to detail
  • Ability to multitask in a fast-paced, team-oriented work environment
  • Positive attitude

Nice To Haves

  • University degree or equivalent knowledge/experience preferred
  • 3 years industry experience preferred

Responsibilities

  • Conduct post-closing review of recordable documents to determine completeness, accuracy, and compliance with recording & legal guidelines.
  • Review recording fees prior to submission to confirm correct amounts were collected at closing.
  • Review, edit, and/or prepare necessary ancillary deed forms & other county or state specific forms prior to recording.
  • Submit recordable documents either via mail or online to the appropriate county (or municipality) for recording within required timeframes.
  • Review recording rejections and work to correct insufficiencies or seek assistance so resubmission can occur in a timely manner.
  • Conduct handwritten corrections on original recordables as needed for our Recording team in Rhode Island and/or for Post Closing requirements.
  • Reconcile filed recordables to locate recorded originals for batch shipping back to clients.
  • Ensure all emails and internal communications are answered within established timelines.
  • Answer/respond to calls from county representatives, borrowers, etc.
  • Assist with other administrative assignments and projects when required.
