About The Position

The Culpeper is seeking a Part-Time Receptionist to join their team. This role is responsible for providing excellent customer service and administrative support within a senior living community. The ideal candidate will be an integral part of a team, with opportunities for work/life integration, mentoring, and career pathways. The Receptionist will handle communications, security procedures, and clerical duties, ensuring a professional and welcoming environment for residents, guests, and staff.

Requirements

  • Must be able to use a variety of office machines such as personal computers, photocopier, fax machines, cameras, printers, and audio/visual equipment.
  • Must maintain and protect the confidentiality of resident information at all times.
  • Must practice positive employee relations when interacting with other employees within the facility.
  • Must maintain a positive cheerful attitude at all times.
  • Must observe Resident Rights and Responsibilities at all times.
  • Must practice all safety and loss prevention procedures.
  • Must adhere to standards of appearance.
  • Must comply with hygiene and health standards for Support Services personnel.
  • Must participate in all fire and safety drills, in-services, and departmental programs as assigned.
  • Must refrain from discussing personal or work related problems with other staff, residents, their families, and friends.
  • Must attend in services and complete Relias courses as required.

Responsibilities

  • Provide receptionist services, including communications and security procedures.
  • Manage the transfer of telephone calls and messages to administrative office staff and other appropriate personnel.
  • Maintain a responsible and professional appearance and demeanor.
  • Assist with clerical duties as needed.
  • Serve as telephone receptionist for the entire facility.
  • Maintain and ensure the appearance of the front desk reception area.
  • Ensure facility’s telephone system is utilized for business reasons only.
  • Monitor reception area to ensure it makes the best impression to guests and visitors.
  • Assist with facility’s marketing efforts by answering general inquiries concerning the community.
  • Greet and direct facility’s guests and visitors in a professional, courteous manner.
  • Receive and transfer telephone calls to appropriate parties.
  • Take and deliver telephone messages as necessary and effectively utilize telephone system features.
  • Respond to telephone inquiries appropriately and/or direct calls to proper departments.
  • Operate telephone console in an expeditious manner.
  • Develop an in-depth understanding and stay up to date on the facility’s Fire and Disaster Preparedness Plans.
  • Ensure compliance with facility’s security policy and procedures as it relates to visitor sign in.
  • Sort and distribute incoming weekend mail according facility policy.
  • Maintain confidentiality of resident mailboxes.
  • Assist residents with requests for mail services.
  • Provide typing and/or clerical services as needed.
  • Assist with other business office functions such as materials preparation, reports, etc.
  • Photocopy materials for residents and staff.
  • Maintain and protect the confidentiality of resident information at all times.
