About The Position

The Receptionist will be responsible for greeting and scheduling patients, managing patient information, verifying insurance, and maintaining the reception area. This role requires excellent interpersonal skills, the ability to organize efficiently, and a commitment to providing a positive patient experience. The receptionist will also assist with administrative tasks, ensure compliance with clinic regulations, and support fellow coworkers and the clinic manager.

  • Ability to organize in an efficient and concise manner.
  • High School Diploma or equivalent.
  • Minimum of 1 year job-related experience.
  • Computer knowledge in Microsoft and Excel.
  • Fully bilingual in English and Spanish.
  • At least one year of experience as a secretary/secretary assistant.

Nice To Haves

  • Strong background in dental field terminology.

Responsibilities

  • Greet and schedule patients on telephone and in person, take detailed phone messages.
  • Ensure a positive experience by being helpful and upbeat.
  • Log and monitor referrals for appointments from private practitioners and/or outside institutions.
  • Confirm next day's appointments and next week's recalls scheduled 6 months in advance.
  • Have patient complete paperwork and enter all pertinent patient information into practice management software.
  • Acquire the necessary signatures.
  • Verify insurance eligibility and frequencies per patient or family.
  • Scan necessary or assigned documents into patient’s chart.
  • Make sure waiting room is neat and tidy.
  • Keep reception area clean and dusted.
  • Ensure clinical forms and documents are in stock; refill as needed.
  • Compile end of day packet (e.g., number of walk-ins/emergencies).
  • Send out statements and recall postcards on the 1st of the month.
  • Carry out any specific task asked by the manager quickly and efficiently.
  • Assist fellow coworkers when called upon.
  • Assist the manager in maintaining standards, conditions, and procedures in clinic in accordance with regulatory standard requirements.
  • Follow Department of Dental Medicine and Hospital Rules and Regulations.
  • Register patients during periods of short staffing as determined by the clinic manager and/or director.
  • Ensure friendly interaction and communication between patients and coworkers.
