About The Position

The Receptionist is responsible for greeting patients, managing phone calls, patient check-in and check-out, scheduling appointments, maintaining patient records, and ensuring accurate administrative record-keeping. This role requires strong communication skills, proficiency with office technology, and the ability to handle various administrative tasks in a medical practice setting. The receptionist must maintain patient confidentiality and work effectively with colleagues, patients, and other personnel.

Requirements

  • Ability to read, write, and communicate in English.
  • High school graduate or equivalent related work experience.
  • Strong communication and interpersonal skills.
  • Experience with current office technology.
  • Proficient with computer office applications (Electronic Medical/Health Records, MS Office, etc.).
  • Experience in an office setting with at least 1 year experience.
  • Knowledge of various insurance authorization/referral requirements.
  • Medical Terminology knowledge.
  • Typing skills at 30 WPM.

Responsibilities

  • Greet and promptly acknowledge patients in the waiting room.
  • Answer the phone within three rings, direct calls, and take accurate messages.
  • Check-in/register patients, verify demographic and insurance information, collect co-pays, and prepare deposits.
  • Provide patients with appropriate paperwork and photocopy insurance cards and photo ID.
  • Schedule and reschedule patient appointments and consult requests.
  • Maintain physician's daily appointment schedule and prepare charts.
  • Edit clinician schedules for time off, sick time, vacation, etc.
  • Process cancellations and no-show appointments.
  • Open and distribute mail.
  • Check-out patients, schedule follow-up appointments, and coordinate referrals.
  • Prepare associated forms such as requisitions or referral forms.
  • Maintain patient records, including scanning documents into the EMR.
  • Refer patients with billing inquiries to the billing office.
  • Print and provide medical records information to outside agencies and physicians.
  • Maintain confidentiality of patient information according to HIPAA regulations.
  • Ensure accurate maintenance of administrative records and communicate effectively with others.
  • Maintain harmonious and cooperative relations with colleagues, staff, patients, and guests.
  • Adjust to unexpected changes and increased patient volumes.
  • Attend departmental meetings.
  • Perform other work-related duties as assigned or requested.
