About The Position

The Receptionist is responsible for greeting patients, managing appointments, maintaining patient records, and ensuring smooth front-office operations in a medical practice. This role requires strong communication and organizational skills to effectively interact with patients, staff, and external agencies while adhering to HIPAA regulations and practice protocols.

Requirements

  • Ability to read, write and communicate in English
  • High school graduate or equivalent

Nice To Haves

  • Strong communication and interpersonal skills
  • Experience with current office technology, proficient with computer office applications (Electronic Medical/Health Records, MS Office, etc.) preferred
  • Experience in an office setting with at least 1 year experience preferred
  • Knowledge of various insurance authorization/referral requirements preferred
  • Medical Terminology knowledge preferred
  • Typing skills at 30 WPM preferred

Responsibilities

  • Greet and acknowledge patients promptly.
  • Answer phones professionally within three rings, direct calls, and take accurate messages.
  • Check-in/register patients, verify demographic and insurance information, collect co-pays, and prepare deposits.
  • Provide and collect necessary patient paperwork, and photocopy insurance cards and photo ID.
  • Schedule and reschedule patient appointments and consult requests accurately in the EMR system.
  • Maintain physician schedules and prepare charts for upcoming appointments.
  • Edit clinician schedules for time off, sick time, vacation, etc.
  • Process cancellations and no-show appointments, and notify clinicians.
  • Open and distribute mail to appropriate staff.
  • Check-out patients, schedule follow-up appointments, and coordinate referrals for labs, radiology, and other physicians.
  • Prepare associated forms such as requisitions or referral forms.
  • Maintain patient records by scanning documents into the EMR.
  • Refer patients with billing inquiries to the billing office.
  • Print and provide medical records information to outside agencies and physicians.
  • Maintain confidentiality of patient information according to HIPAA.
  • Ensure accurate maintenance of administrative records and effective communication with colleagues, patients, and visitors.
  • Maintain harmonious and cooperative relations with staff, patients, and guests.
  • Adjust to unexpected changes to meet responsibilities during absences or increased patient volumes.
  • Attend departmental meetings.
  • Perform other work-related duties as assigned.
  • Float to other MACC practices when required.
