About The Position

The Receptionist welcomes visitors, receives incoming telephone calls, routes information to the appropriate person, and provides clerical support for the organization. This role requires flexibility with working hours, which are typically Monday through Friday from 9 am to 3 pm. The Receptionist is expected to know and support the Mission Statement, Policy/Procedures, and standards of MMR. Essential duties include efficiently routing telephone calls, appropriately handling walk-in traffic while maintaining security, directing customers on payment procedures, maintaining knowledge of MMR's educational classes, and processing requests for protected health information (PHI) in compliance with HIPAA guidelines. The role also involves receiving, sorting, and routing mail and deliveries, processing outgoing UPS shipments, assisting with employee anniversary gifts, ordering and fulfilling special requests for office supplies, monitoring prices for best value, and maintaining an accurate inventory of regular supply items. Other duties may be assigned as needed.

Requirements

  • High school diploma
  • Some office experience preferred
  • Well-versed in office skills, including grammar, spelling, telephone etiquette and organization
  • Ability to operate office equipment, including but not limited to, copier, fax machine, scanner
  • Proficiency with Microsoft Word and Excel
  • Skilled in typing, data entry, electronic filing and document retrieval
  • Ability to communicate effectively both verbally and in writing, in the English language
  • Self-motivated and able to work closely with others
  • Work requires accuracy, attention to detail and time management skills to handle multiple projects
  • Ability to perform a variety of tasks, often changing assignments on short notice
  • Proactive approach to problem solving
  • Possess and maintain a valid Michigan driver license and maintain an acceptable driving record
  • Must be at least 18 years old

Responsibilities

  • Welcome visitors, receive incoming telephone calls, and route information to the appropriate person.
  • Handle all walk-in traffic by responding to individual needs or contacting the appropriate person, while maintaining a high level of security.
  • Direct customers on how to make payment to MMR for ambulance transport.
  • Maintain knowledge of all current and upcoming classes offered by the MMR Education Department.
  • Receive initial requests for protected health information (PHI) by following HIPAA guidelines and working with the Quality Department.
  • Receive, sort, organize, and route all incoming mail and deliveries.
  • Process all outgoing UPS shipments and maintain an accurate log.
  • Assist in the employee anniversary gift process via Amazon, including ordering gifts.
  • Order office supplies for all departments and fulfill special requests.
  • Monitor and compare prices to achieve best value purchases for office supplies.
  • Maintain an accurate inventory of all regular supply items to ensure needed items are always on hand.
  • Maintain an accurate accounting of supplies ordered.
  • Perform other duties as assigned.
