About The Position

The Receptionist is responsible for greeting patients, managing phone calls, patient check-in and check-out, scheduling appointments, maintaining patient records, and ensuring accurate administrative record-keeping. This role requires strong communication and interpersonal skills, proficiency with office technology, and the ability to maintain patient confidentiality in accordance with HIPAA regulations. The receptionist must also be adaptable to changing circumstances and willing to float to other MACC practices when needed.

Requirements

  • Ability to read, write and communicate in English
  • High school graduate or equivalent

Nice To Haves

  • Experience with current office technology, proficient with computer office applications (Electronic Medical/Health Records, MS Office, etc.)
  • Experience in an office setting with at least 1 year experience
  • Knowledge of various insurance authorization/referral requirements
  • Medical Terminology knowledge
  • Typing skills at 30 WPM

Responsibilities

  • Greet and promptly acknowledge patients.
  • Answer phone calls in a timely, polite, and professional manner, directing calls and taking accurate messages.
  • Check-in/register new and existing patients, verify demographic information, insurance authorization, collect co-pays, and prepare deposits.
  • Provide patients with necessary paperwork, and photocopy insurance cards and photo ID.
  • Schedule and reschedule patient appointments and consult requests.
  • Maintain physician's daily appointment schedule and prepare charts.
  • Edit clinician schedules as needed.
  • Process cancellations and no-show appointments.
  • Distribute mail to appropriate staff.
  • Check-out patients and schedule follow-up appointments, coordinating necessary referrals.
  • Prepare associated forms such as requisitions or referral forms.
  • Maintain patient records, including scanning documents into the EMR.
  • Refer patients with billing inquiries to the billing office.
  • Print and/or provide medical records information to outside agencies and physicians.
  • Maintain confidentiality of patient information.
  • Ensure accurate maintenance of administrative records and effective communication with colleagues and patients.
  • Maintain harmonious and cooperative relations with fellow employees, medical staff, patients, and guests.
  • Adjust to unexpected changes to meet responsibilities during absences or increased patient volumes.
  • Attend departmental meetings.
  • Perform other work-related duties as assigned or requested.
