About The Position

The Receptionist will be responsible for greeting on-site visitors, answering incoming phone calls, and providing information about Altorfer Inc. This role involves performing various administrative duties, including coding invoices, processing receipts, managing service link work orders, scanning and researching documents, and creating purchase orders. The receptionist will work as part of a two-member front-desk team, sharing phone and mailroom responsibilities, and ensuring the coffee maker is emptied at the end of their shift. This position may require rotating shifts due to call-offs or appointments, ordering catering for training, and ordering, pricing, and staging merchandise for the store showroom. Other duties may be assigned as needed.

Requirements

  • Two years of experience with a strong phone presence and proven customer service skills.
  • Computer literate.
  • Previous experience with programs such as MS Excel, Word, and Outlook.
  • A positive attitude, friendly disposition, and ability to multi-task.
  • Excellent verbal communication skills.
  • Self-starter with good time management skills.
  • Team oriented and willing to adapt to change.
  • Dependable with great organizational skills.
  • High School Diploma or equivalent.
  • Valid driver’s license (Motor Vehicle Report will be performed on final candidate).

Responsibilities

  • Welcome on-site visitors and take incoming phone calls to determine the nature of business before forwarding the call.
  • Answer questions about Altorfer Inc. and provide guidance regarding directions and other information.
  • Take and deliver messages or transfer calls to appropriate personnel company wide.
  • Complete administrative duties such as coding invoices in Bill.com, receiving and attaching receipts for Wells Fargo users and coding them, adding misc charges to Service Link work orders, scanning parts documents into shared drive, researching parts documents, and creating PO#.
  • Share phone and mailroom responsibilities with another team member.
  • Empty coffee maker at shift end.
  • Rotate shifts as required due to call off and or appointments.
  • Order catering food online for training as needed.
  • Order, price, and stage merchandise for the store showroom.
  • Perform other duties as assigned.
