About The Position

The Receptionist is the face and heartbeat of the office, responsible for delivering an exceptional in-office experience for employees, guests, and vendors alike. This dynamic role combines reception duties with administrative support for mid-level investment professionals. This individual will sit primarily at the reception desk on the 31st floor at 535 Madison, while occasionally providing backup coverage for the 29th floor reception area. The ideal candidate is warm, proactive, professional, highly organized, and thrives in a fast-paced, collaborative environment.

Responsibilities

  • Greet and welcome employees, visitors, clients, and vendors with warmth, professionalism, and attentiveness
  • Deliver a high-touch hospitality experience, including offering beverages, managing coat/bag storage, and setting up the guests accordingly
  • Manage the front desk area, ensuring it is clean, organized, and reflective of the firm’s standards
  • Answer and direct phone calls and emails promptly and professionally
  • Manage visitor preclearance requests for guests and employees
  • Monitor and update internal preclearance application and calendars
  • Manage incoming and outgoing mail, packages, and courier services
  • Provide coverage across all reception areas as needed to ensure consistent service levels
  • Assist with scheduling conference rooms and booking office space.
  • Communicate with Facilities and IT teams to report and resolve issues (maintenance, AV support, etc.).
  • Provide ad hoc support to other teams when required.
  • Support day-to-day office operations to ensure a seamless work environment.
  • Support Facilities with general maintenance and cleanliness of all spaces (private offices, workstations, conference rooms, pantries, huddles room, phone rooms, wellness rooms, etc.).
  • Partner with vendors (cleaning, food & beverage, plants/greenery, etc.) to ensure consistent service levels.
  • Coordinate workplace-related services such as catering, special events, and meetings.
  • Collaborate with Facilities, IT and onsite Business Units to support new hire onboarding, seating assignments/hoteling, and office moves.
