About The Position

Under the direction of the School Principal or Office Manager, the Receptionist is responsible for providing a variety of receptionist and administrative assistant duties in a school setting. This role supports the school's spiritual and pastoral mission and requires adherence to Catholic principles. The position involves managing communications, maintaining records, and providing administrative support to school personnel and visitors.

  • Courtesy to fellow employees, parents, parishioners and the public
  • Self-starter, well organized
  • Ability to perform multiple tasks simultaneously and work with a sense of urgency
  • Ability to maintain confidentiality of student and parent information
  • Ability to work collaboratively in a team environment
  • Punctuality is a must at all times
  • Proficiency in computer technology to include word-processing, spreadsheets and internet research
  • Minimum typing skill of 40 WPM
  • Professional bearing, clean and neat personal appearance
  • Ability to successfully pass a background, criminal history, and credit history check
  • Must successfully pass the required criminal background check prior to employment and every five years
  • Must complete Protecting God’s Children (PGC) workshop prior to employment
  • High School Graduate or equivalent
  • 3 years’ experience as a receptionist in a small, medium or large firm or equivalent experience

Responsibilities

  • Support the school’s spiritual and pastoral mission
  • Abide by Catholic principles in professional and private life
  • Foster communication and work collaboratively with office staff and faculty
  • Answer and handle incoming telephone calls professionally and courteously
  • Distribute mail daily and perform mailings as necessary
  • Maintain sign in logs and other necessary records
  • Prioritize, coordinate, and schedule calendar requests; maintain and ensure accuracy of the calendar
  • Receive and handle visitors professionally, screening requests for information
  • Be knowledgeable of school rules and school/church events
  • Accurately and timely handle all correspondence, incoming and outgoing
  • Maintain files and other documentation
  • Provide necessary staff support as requested
  • Collect, maintain, and make all deposits of funds received utilizing the school database management system
  • Maintain accurate attendance records for students and print reports as needed
  • Receive payments, notes, scrip orders, etc. and disseminate to appropriate personnel
  • Retrieve phone messages
  • Administer tardy/admit slips to students
  • Maintain and update information in student information system
  • Assist the office with processing paperwork
  • Attend to the needs of visitors to the school office and maintain reception area
  • Participate in the evacuation process in the event of emergencies
  • Provide support to school personnel as necessary
  • Perform other duties as assigned
