About The Position

The Receptionist serves as the primary point of contact for individuals, visitors, referral sources, and community partners, providing professional and welcoming front desk support in accordance with 12VAC35-105 and organizational policy. This position manages incoming communications, coordinates scheduling, assists with administrative tasks, and ensures that confidentiality and rights of individuals are upheld at all times. The Receptionist supports a safe, organized, and accessible environment for all who interact with the organization. All team members are expected to support a trauma-first recovery environment rooted in dignity, compassionate accountability, compliance, clear communication, and follow-through. This role contributes to healing, independence, and lasting freedom through reliable execution and alignment with Conscious Healing's EOS operating rhythm.

Responsibilities

  • Greet and assist individuals, visitors, referral sources, and staff in a courteous, professional, and welcoming manner, ensuring a supportive environment consistent with the rights of individuals per 12VAC35-105-160
  • Answer, screen, and direct incoming telephone calls and electronic communications in a timely and professional manner, maintaining confidentiality in compliance with HIPAA and 12VAC35-105
  • Schedule and confirm appointments for individuals receiving services and clinical staff, coordinating with the clinical team as needed
  • Collect and process intake paperwork, consent forms, insurance information, and other required documents at the time of admission or initial contact, ensuring completeness and confidentiality.
  • Manage the sign-in/sign-out log for individuals and visitors, maintaining security and safety of the facility in compliance with organizational policy and 12VAC35-105 safety requirements
  • Process and distribute incoming and outgoing communications, including mail, faxes, email, and phone messages, maintaining confidentiality in compliance with HIPAA and 12VAC35-105
  • Maintain a clean, organized, and welcoming reception and waiting area, reporting any safety, maintenance, or environmental concerns to the Office Administrator
  • Assist with filing, scanning, copying, and data entry as directed, maintaining the integrity of clinical and administrative records per 12VAC35-105
  • Provide basic information to individuals and the public regarding services, referral processes, and organizational contact information, directing clinical questions to appropriate staff
  • Support emergency and safety procedures, including notification of appropriate staff in the event of a crisis or safety concern, in compliance with 12VAC35-105 emergency protocols
  • Maintain confidentiality of all individual and organizational information encountered in the course of duties in compliance with HIPAA and 12VAC35-105
  • Complete required organizational training including orientation, human rights, abuse/neglect prevention, and emergency procedures as mandated by 12VAC35-105.

  • Creates a calm, respectful first impression for participants, families, referral sources, and visitors while routing needs quickly and protecting confidentiality.
