About The Position

Under direction, performs responsible front office communication, scheduling, and administrative support work. Serves as the first point of contact for students, families, staff, and visitors while maintaining accurate records and supporting daily school operations. Duties include managing phone communications, scheduling prospective student interviews, maintaining visitor check-in procedures, supporting student enrollment processes, and assisting school administrators with clerical and organizational tasks in a fast-paced school environment.

Requirements

  • Skill in answering and directing phone calls efficiently and accurately while maintaining a professional and courteous demeanor with students, families, and staff.
  • Knowledge of general office procedures, student enrollment processes, computer systems, and communication tools used within a school environment, including email, scheduling systems, and Microsoft Office.
  • Ability to work effectively in a fast-paced and sometimes high-stress school environment while maintaining organization, professionalism, and confidentiality.
  • Ability to communicate clearly, manage multiple tasks simultaneously, and provide excellent customer service to diverse groups of students, families, and community members.
  • Ability to follow Tulsa Public Schools policies, safety procedures, and administrative guidelines while supporting school leadership and maintaining a welcoming school environment.
  • High school diploma or general education degree (GED; plus, one to three months of related experience and/or training.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.
  • Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.

Responsibilities

  • Responsible for receiving, answering, and directing incoming phone calls for the school, providing accurate information and routing inquiries to appropriate staff members.
  • Greets students, families, staff, and visitors in a professional and welcoming manner while serving as the primary front office contact for the school.
  • Manages visitor check-in procedures, ensuring all guests follow district security policies and sign-in protocols in accordance with school safety requirements.
  • Schedules and coordinates interviews and appointments for prospective students and families, maintaining accurate calendars and communication with school staff.
  • Manages and oversees the student enrollment process, including requesting and collecting records from previous schools, coordinating required enrollment documentation, and ensuring newly enrolled students receive appropriate class schedules and orientation information.
  • Supports school administrators and staff with projects, clerical tasks, reports, and additional assignments that support school operations.
  • Oversees and manages the school’s food pantry and food bank program, including organizing supplies, maintaining inventory, coordinating distribution to students and families, and supporting access to available resources.
  • Assists with preparation and support for school events and activities, including remaining after normal work hours when necessary to support events such as Parent Teacher Conferences, Prom, and other school functions.
  • Ensures compliance with all district security policies, procedures, and front office protocols required by Tulsa Public Schools.
  • Maintains a clean, organized, and professional front office workspace that supports efficient daily operations.
  • Completes all required Tulsa County and Tulsa Public Schools training, documentation, and additional requirements as established.
  • Performs other duties as assigned.
