About The Position

The Receptionist is a non-licensed worker who has completed an on-the-job training program. The primary function of the Receptionist is to perform office-related duties, including general clerical duties, daily patient charges, and assisting with maintaining the efficient operation of the facility. This role requires the ability to accept responsibility, demonstrate good judgment, work under pressure, accept constructive criticism, maintain patient confidentiality, and work with individuals of all ages.

Responsibilities

  • Performing general clerical duties
  • Recording daily patient charges
  • Assisting with maintaining the efficient operation of the facility
  • Coordinating and scheduling patients’ appointments
  • Maintaining all aspects of patient medical records, including scheduling 30-day re-evaluations and re-certifications for Medicare
  • Tracking and collection of patient’s deductibles and copayments
  • Performing general receptionist/secretarial duties such as answering phone, taking phone messages, filing, etc.
  • Processing all dictation, copies and forwarding to referring doctor to include Medicare recerts
  • Answering phone before the third ring using a pleasant voice and stating "Good Morning/Afternoon, company name and who is speaking"
  • Offering to take a message if the called person is unavailable
  • Scheduling new patients for appointments within 24-48 hours
  • Obtaining new patient information including name, phone number, diagnosis, referring doctor, frequency and duration as stated on prescription, and insurance information
  • Using new patient referral sheets to log information
  • Calling insurance companies for verification of insurance, percentage of coverage for rehab services, deductible information, and checking if deductible has been met
  • Pre-certifying rehab services if required
  • Obtaining prior authorization for frequency and duration for workman's comp patients before their first appointment
  • Filling out workman's comp authorization forms, obtaining employer's name, file or claim number, address, and mailing claims and length of authorization
  • Pre-certifying workman's comp if indicated by adjuster and logging precert information
  • Greeting patients upon arrival and providing them with a sign-in sheet
  • Using the patient's name when addressing them
  • Providing new patients with patient information sheets and financial or workman's comp information sheets
  • Obtaining rehab prescription and copy of insurance cards
  • Making patient's chart according to instructions
  • Making up charge tickets for therapist inputting patient's name, date, and therapist initials
  • Notifying appropriate office personnel that the patient is ready to be brought back for treatment
  • Discussing patient's account, insurance coverage, and informing them of their estimated portion of their bill
  • Setting up payment schedules and having patients sign appropriate promissory notes if applicable
  • Collecting patient's co-payment daily
  • Scheduling patients for their next appointment
  • Scheduling patients on a weekly/daily basis for their appointment times, accommodating work schedules when necessary
  • Informing patients to schedule appointments early for the coming week if they require specific appointment times
  • Asking patients if they have a return appointment with their physician when scheduling for the next week and writing 'Letter to Doctor' above their name on the appointment book prior to the M.D. visit
