About The Position

The Pain Clinic Receptionist serves as the first point of contact for patients and visitors, providing a welcoming and professional experience in a fast-paced medical environment. This role is responsible for managing patient check-in and check-out, scheduling appointments, verifying insurance information, collecting payments, and supporting the clinical and billing teams. The ideal candidate is compassionate, detail-oriented, and committed to providing excellent customer service to patients experiencing chronic or acute pain.

Requirements

  • High school diploma or equivalent required
  • Minimum of one year of experience in a medical office setting, preferably in pain management, orthopedics, or physical medicine.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and accuracy.
  • Proficiency in electronic medical records (EMR) and Microsoft Office applications.
  • Ability to multitask and manage competing priorities in a busy clinical environment.
  • Compassionate and professional demeanor when interacting with patients in pain.
  • Working knowledge of medical terminology, insurance processes, and HIPAA compliance.

Responsibilities

  • Greet and check in patients in a courteous and professional manner.
  • Schedule, confirm, and reschedule patient appointments efficiently.
  • Verify insurance eligibility, collect copayments, and update demographic information.
  • Answer phones, route calls, and respond to messages promptly and professionally.
  • Coordinate with clinical staff to ensure smooth patient flow and timely rooming.
  • Filter through referrals & schedule accordingly
  • Collect and post patient payments; balance cash drawers and prepare daily deposits.
  • Maintain confidentiality of patient records and comply with HIPAA regulations.
  • Forward medical records requests into the proper clinical inbox for processing.
  • Communicate with patients regarding appointment reminders, required paperwork, and follow-up visits.
  • Maintain cleanliness and organization of the front office and waiting area.
  • Provide administrative support for the pain management team as needed.
  • Communicate clearly and courteously with patients, providers, and team members.
  • Adhere to all confidentiality, safety, and compliance policies and procedures.
  • Print & Prepare all New Patient paperwork, procedure checklists, & consent forms filling in all applicable areas
  • Check personal clinical inbox daily (in the morning, throughout the day, and before the end of your shift) to ensure timely responses to any pending needs.
  • Check voicemails at the beginning of every shift and call the patients back and address their needs. Check voicemails again after lunch breaks & address.
  • Perform other related duties as assigned.
