This role is responsible for helping the organization to run smoothly, while maintaining composure throughout interactions with our clients, suppliers, and colleagues. You will be assisting our teams by answering phone calls, maintaining calendars for appointments, sorting mails, receiving couriers, liaising with third party suppliers and contractors, and planning travel arrangements.

Requirements

  • Excellent communication and interpersonal skills, with a positive attitude
  • Possesses high ethical standards
  • Strong team-player with hands-on approach
  • Ability to think outside the box whilst being able to anticipate potential challenges and proactively address them
  • Culturally sensitive and experienced in dealing with multiple nationalities and business cultures
  • Fluency in written and spoken in English
  • Previous experience in a similar role
  • Computer literate

Responsibilities

  • Liaising with third party suppliers and contractors
  • General front-office duties, including:
  • General reception duties
  • Assisting clients and visitors by greeting them in person or telephonically and directing appropriately, also arranging for refreshments when necessary
  • Sorting and distributing incoming mail, couriers and other internal documents
  • Processing outgoing mail and couriers
  • Filing and archiving
  • Maintaining a safe and clear office, boardrooms and meeting rooms
  • Providing (limited) support to the Country Managing Director and other directors arrangements and other reservations
  • Special, one-off projects
  • To keep informed of and comply with all Vistra policies and procedures
  • To perform mandatory training that may be required from time to time
  • To uphold Vistra’s values by promoting a culture of professionalism, respect, teamwork equality
