Requirements

  • High school diploma or GED and 3 years of experience in a reception position.
  • Experience answering a multi-line telephone system.
  • Excellent communication skills, both verbal and written.
  • Working knowledge of MS Office (Word, Excel, Outlook, and Power Point) and ability to use/learn electronic time-keeping program.
  • Ability to use office equipment, i.e., copier, scanner, printer, etc.
  • Must be able to work sensitively and effectively with individuals of diverse educational, socio-economic, and cultural backgrounds.
  • Successfully complete a criminal background check and/or FBI fingerprinting, as well as pre-employment drug screening, as applicable for the position.

Nice To Haves

  • Three-plus (3+) years of experience in a receptionist position.
  • Intermediate knowledge of MS Office (Word, Excel, Outlook and Power Point).

Responsibilities

  • Provide high-quality customer service to UPO customers, visitors, employees, and the public.
  • Greet and assist guests, ensuring they are properly directed and supported while in UPO facilities.
  • Respond promptly and professionally to inquiries via telephone, email, and in person.
  • Perform clerical tasks and carry out additional duties as assigned.
  • Greet and check-in customers, clients, and visitors upon arrival at the UPO facility.
  • Conduct temperature checks when necessary.
  • Notify appropriate staff of visitor arrivals.
  • Operate a multi-line telephone system, directing calls efficiently and professionally.
  • Open Department of Motor Vehicles related mail only and distribute all other incoming mail to the appropriate staff mailboxes.
  • Receive packages and deliveries, ensuring timely notification to designated recipients.
  • Maintain accurate front desk and visitor logs.
  • Respond to inquiries via telephone, email, and in person, providing accurate information about UPO services.
  • Schedule and manage reservations for the Russell Simmons Boardroom.
  • Maintained a clean, organized, and safe reception area to ensure a welcoming environment.
  • Monitor the parking lot to ensure vehicles are parked in designated spaces.
  • Monitor the parking lot to ensure fire lanes and entrances remain clear of vehicles.
  • Assist visitors and contractors with parking for scheduled appointments.
  • Ensure reserved and handicapped parking spaces remain available for authorized use.
  • Notify facilities management of unauthorized vehicles or repeated parking violations.
  • Notify management of maintenance issues or facility concerns in a timely manner.
