About The Position

We are seeking a professional, customer-focused, and highly organized Receptionist to serve as the first point of contact for our Headquarters location. This role is responsible for creating a welcoming environment for guests, supporting daily administrative operations, managing incoming communications, and assisting various departments to ensure efficient office operations. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced business environment.

Requirements

  • High school diploma or GED.
  • Minimum 1-3 years of receptionist, administrative assistant, customer service, or office support experience.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and Teams).
  • Excellent organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to maintain confidentiality and professionalism at all times.

Nice To Haves

  • Associate degree or additional administrative training.
  • Experience working in a corporate headquarters, dealership group, or multi-location business environment.
  • Experience with visitor management, phone systems, and office administration software.

Responsibilities

  • Greet and welcome visitors, customers, vendors, and employees in a professional and courteous manner.
  • Manage visitor check-in procedures and maintain visitor logs.
  • Answer, screen, and direct incoming telephone calls promptly and professionally.
  • Provide basic information regarding company departments, services, and personnel.
  • Maintain a clean, organized, and professional reception area.
  • Assist with general office administration, filing, scanning, copying, and document management.
  • Manage incoming and outgoing mail, packages, and courier services.
  • Coordinate meeting room reservations and prepare conference rooms for meetings and events.
  • Support headquarters leadership and department managers with administrative projects as needed.
  • Serve as a liaison between visitors, employees, departments, and external vendors.
  • Monitor general email inboxes and route inquiries appropriately.
  • Assist with company communications, announcements, and employee engagement activities.
  • Coordinate catering and hospitality needs for meetings and special events.
  • Enter and maintain accurate records, databases, and spreadsheets.
  • Maintain confidentiality of sensitive business and employee information.
  • Assist with invoice processing, vendor records, and administrative reporting.
  • Report facility maintenance concerns and coordinate service requests.
  • Assist with building access management and visitor security procedures.
  • Support headquarters events, trainings, and company functions.
