About The Position

The Receptionist/Events Coordinator is responsible for greeting customers, planning and organizing events, and providing clerical and administrative support. This includes scheduling appointments, assisting callers with appropriate information, composing and typing correspondence using a computer, reading and routing incoming mail, filing correspondence and other records, and performing other assigned clerical duties.

Responsibilities

  • Answer telephone and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Meet and greet customers.
  • Accurately manage, organize, and update relevant data using database applications.
  • Provide support to all departments as needed including typing of correspondence, travel planning, general office duties, maintaining calendars, and coordinating conferences and appointment setting.
  • Establish and maintain relationships with fellow MarineMax team members as well as customers, vendors, and other outside persons.
  • Demonstrate effective verbal and written communication skills with internal and external customers, visitors, and telephone callers.
  • Understand, adhere to, and implement procedures, policies, and guidelines.
  • Manage information, coordinate arrangements, and prepare correspondence with minimum review.
  • Coordinate events such as open houses, demo days, customer appreciation days, and Getaways!.
  • Coordinate and attend all boat shows and other off-site promotions such as Getaways!.
  • Assist with the scheduling of guests for Getaways! trips.
  • Provide customers in person or by telephone with information to explain events or promotions, including schedules, restaurants, hotels, dock space, or other accommodations.
  • Provide promotional materials, brochures, and maps; may create event flyers and other promotional materials.
  • Collect payment for events when applicable.
  • Conduct pre- and post-event surveys to determine the success of events.
  • Work effectively and make sound decisions with minimal supervision to meet established deadlines for a variety of demands and projects.
  • Other duties as assigned.
