About The Position

The Clinical Check-Out Desk Receptionist serves as the primary point of contact for patients at the conclusion of their visit, ensuring an efficient and positive checkout experience. This role is responsible for scheduling follow-up appointments, updating patient records, and providing exceptional customer service while maintaining patient confidentiality and compliance with healthcare regulations. This position is also responsible for managing multi-line phone systems efficiently, handling inquiries, scheduling appointments, and directing calls to appropriate personnel. The Receptionist supports general administrative functions, including document handling, copying, and maintaining organized office operations. By providing exceptional phone etiquette and client interaction, the Receptionist contributes to a positive experience that reflects the organization's commitment to quality care and service. Ultimately, this role ensures smooth communication flow and operational efficiency, supporting both staff and clients in a dynamic healthcare environment.

Requirements

  • High school diploma or equivalent.
  • At least 2 years of experience performing administrative and patient-facing duties within a medical office, clinic, or healthcare environment.
  • Proven experience handling multi-line phone systems in a professional setting.
  • Familiarity with electronic health record (EHR) systems or scheduling software.
  • Strong phone etiquette and communication skills.
  • Ability to perform general administrative tasks efficiently.
  • Resolves problems either independently or by knowing when appropriate to seek out another resource.
  • Overall knowledge of office procedures, and insurance.
  • Works collaboratively with all office employees and physicians to ensure task completion within specified timeframes.
  • Multi-tasking with a sharp attention to detail.

Responsibilities

  • Checks out patients by scheduling office visits or procedures, and providing instructions as per protocol.
  • Prints and reviews procedure preps, lab and radiology orders, and obtains discharge signatures post procedure.
  • Confirms Procedure appointments
  • Makes, reschedules, and cancels appointments
  • Acts as a liaison between physician and patient
  • Answers and directs telephone calls appropriately in a professional and courteous manner.
  • Takes clear, accurate messages, documents telephone messages in EHR, and assigns to appropriate Staff of Physician.
  • Returns Patient phone calls for test results as per physicians instructions and documents accordingly.
  • Maintain a clean and organized reception area to promote a professional atmosphere.
