About The Position

We are currently seeking a Receptionist/Administrative Assistant to join our team in our Park Ridge, NJ office location. This is a fully onsite position, offering an exciting opportunity to be part of a dynamic and growing firm. As part of our Administrative Team, you will be expected to provide efficient and accurate support to the partners and staff to help provide the highest level of service to our clients. You must be able to work under pressure, be a quick learner and assume responsibility for timely delivery of work assigned to them. You should be self-motivated and work well independently while also recognizing the need to be a team player. This position will be based at the main reception desk and will serve as the primary point of contact for employees, clients, visitors, vendors, and callers to the Park Ridge office. Below is a list of responsibilities we have outlined, as always there will be ad-hoc projects that could come up throughout the year.

Requirements

  • High School Diploma required
  • Excellent interpersonal, organizational, initiative, and leadership skills
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office Suite and willingness to learn new software and systems
  • Ability to manage multiple priorities in a deadline-driven environment
  • Maintains a high level of professionalism and consistently demonstrates respect for others

Nice To Haves

  • Associate degree preferred
  • Minimum of 2+ years of relevant experience (preferred within professional services environment)

Responsibilities

  • Serving as the primary receptionist and remaining stationed at the main reception desk during scheduled working hours, except when coverage has been arranged
  • Providing general administrative support to multiple departments and staff
  • Answering phones and directing calls or inquiries appropriately
  • Greeting clients, visitors, vendors, and employees in a warm and professional manner and promptly notifying the appropriate team member of their arrival
  • Receiving, sorting, and distributing incoming mail, packages, and courier deliveries, and coordinating outgoing shipments
  • Assisting guests with meeting room locations and coordinating basic hospitality needs, including beverages and meeting room readiness
  • Preparing and processing engagement letters and related tax administrative documents
  • Supporting office professionals with administrative tasks during busy season and throughout the year
  • Processing expense reports and vendor invoices as needed
  • Supporting the Admin Ticketing System and responding to office requests
  • Ordering office supplies and coordinating catering for meetings and events
  • Ensuring kitchen is well-stocked and organized each day
  • Assisting with preparation of client deliverables, binders, and internal documentation
  • Booking conference rooms and preparing meeting spaces
  • Filing, scanning, copying, and faxing documents
  • Performing ad hoc administrative projects and other duties as assigned
