About The Position

MGC Contractors, Inc is looking for a highly organized and personable experienced Receptionist/Administrative Assistant to manage front desk operations and provide administrative support to our team. This role will serve as first point of contact for clients and visitors, ensuring a professional and welcoming atmosphere while handling various office tasks.

Requirements

  • High School diploma or equivalent required, Associate's degree preferred.
  • Any equivalent combination of experience and training that provides the requisite knowledge, skills and abilities.
  • Proven experience as a receptionist, administrative assistant, or similar role required.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills both verbal and written.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams) required.
  • Basic understanding of office equipment.
  • Ability to multitask and manage time efficiently in a fast-paced environment.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of personnel in a diverse work community.
  • Must have reliable and available transportation
  • Must possess a valid Arizona Driver's License.
  • Passing a pre-employment background check and drug screen is required.

Nice To Haves

  • Experience with certified payroll would be a plus.

Responsibilities

  • Greet visitors, clients, and employees with a positive and friendly attitude.
  • Answer phone calls, direct inquiries, and take accurate messages.
  • Maintain a clean, organized and welcoming reception area.
  • Provide general administrative support, including filing, copying, scanning and mailing.
  • Schedule and coordinate meetings, appointments and events.
  • Manage office supplies and inventory, ensuring availability and restocking as needed.
  • Handling all incoming and outgoing mail packages.
  • Pick up Mail from the post office box.
  • Create Job information lists for prelien requests.
  • Greet and assist visitors, clients, subcontractors, and vendors in a professional manner ensuring a positive experience.
  • Handle all inquiries and concerns in a professional manner.
  • Maintain a clean, organized, and welcoming reception area as well as all common areas (Kitchen, copy rooms, meeting rooms, etc.).
  • Inputting and updating information into databases.
  • Managing and distribution of sporting event tickets, coordinating lunch for meetings, and writing and mailing employee birthday cards.
