About The Position

The Receptionist Admin position is a full-time role responsible for managing the front desk operations, handling telephone communications, greeting visitors, managing mail and packages, and providing administrative support to various departments. This role also involves coordinating patient transportation, managing office supplies, handling financial transactions, and maintaining the cleanliness and organization of the gift shop. The position requires adherence to ethical standards, confidentiality, and compliance with facility policies and applicable laws.

Requirements

  • Ability to handle money when necessary.
  • Knowledge of computers and Microsoft software programs.

Responsibilities

  • Answers telephone through switchboard, directs calls, pages personnel, and takes messages.
  • Greets people entering the building and maintains a resident listing for assistance.
  • Sorts and distributes incoming mail and newspapers.
  • Documents paperwork for incoming packages and prepares outgoing mail, including overnight and FedEx/UPS packages.
  • Relays pertinent information between day shift and night/weekend receptionists to ensure smooth desk operations.
  • Assists with typing, photocopying, and filing for all departments.
  • Documents monthly mandatory in-services for the education department and maintains records for the nursing department's annual state survey.
  • Copies and assembles social services admission packets and HR orientation packets.
  • Maintains an organized and up-to-date supply of forms.
  • Records times of admission for new Rehab patients, types a list, and distributes it to the DON monthly.
  • Types paperwork and letters for the accounting department.
  • Copies and updates dietary labels.
  • Coordinates patient/resident transportation with SNF houses, Rehab Secretaries, Director of Facilities, and Maintenance Driver.
  • Places service calls to vendors for malfunctioning copy machines.
  • Distributes applications to job applicants in the lobby.
  • Receives and verifies deposits from cafeteria and gift shop representatives, maintaining accuracy and supplying receipts.
  • Receives money from residents/family members for personal accounts, telephone deposits, etc., and supplies receipts.
  • Receives clothing from residents/family members for laundry services, documents them, provides a copy of paperwork to the family, and distributes clothing to laundry personnel.
  • Organizes and maintains the cleanliness of the gift shop and handles sales transactions.
  • Receives and documents the selling of tickets and handling of money for fundraisers.
  • Distributes paychecks bi-weekly.
  • Performs duties according to the highest ethical and moral standards and in adherence with the facility’s corporate compliance plan and all applicable governing laws.
  • Adheres to the facility’s confidentiality statement in accessing and safeguarding protected health information (PHI) of residents and employees.
  • Performs any other duties as assigned by Supervisor.
