About The Position

This role is responsible for welcoming visitors, managing inquiries, and maintaining a professional reception area. The position also involves handling phone calls and emails, managing mail distribution, scheduling conference rooms, and maintaining the office breakroom and conference rooms. Additionally, the receptionist/admin support will assist with maintaining the event calendar, coordinating office events, managing office equipment and fixtures, and providing administrative support to business unit directors. The role requires handling responsibilities with confidentiality and urgency, and contributing to team efforts. Job duties may change as required by business necessity.

Requirements

  • Experience with MS Outlook, Excel, PowerPoint, and Word required.
  • Strong verbal and written communication skills required.
  • High level of organization skills to manage multiple and constantly changing priorities required.

Nice To Haves

  • Associate’s degree in business or related field preferred.
  • Other combinations of job-related experience and education that meet the requirements may be substituted.
  • 3 years of experience or more preferred in administrative support role.
  • Knowledge of retail business preferred.

Responsibilities

  • Welcome visitors by greeting them and answering or referring inquiries.
  • Ensure all visitors, vendors, and delivery personnel sign in and are issued a temporary visitor’s badge.
  • Direct visitors/vendors to the appropriate Department or employee.
  • Manage external and internal phone calls and e-mails.
  • Oversee distribution of all incoming mail and packages.
  • Schedule, verify, and cancel conference rooms and conference calls.
  • Maintain a professional reception area, ensuring cleanliness and organization.
  • Maintain the office breakroom and conference rooms, including ordering supplies, cleaning, organizing, and stocking.
  • Maintain calendars for the business unit, including scheduling meetings and conference calls.
  • Assist with maintaining the event calendar and coordination of all office events.
  • Assist the office manager with managing all equipment, furniture, and fixtures.
  • Respond to written requests for information.
  • Provide routine administrative support to various business unit directors.
  • Support project management activities for special projects.
  • Handle a variety of responsibilities with the utmost confidentiality and sense of urgency.
  • Contribute to team effort by accomplishing related results.
