About The Position

As the first point of contact for clients, visitors, and employees, the administrative assistant/receptionist plays a critical role in creating a positive first impression and ensuring smooth front office operations. This position assists staff with administrative duties, maintains general building flow, performs clerical and non-clerical duties, and assist with the implementation of FNA employee and community events.

  • High school diploma or equivalent.
  • Two (2) years of experience performing diverse administrative duties.
  • A combination of experience, education, and training that provides the required knowledge, skills, and abilities may substitute for degree requirements.

Nice To Haves

  • Associate’s degree in Office Management and Technology or related field.
  • Four (4) years of experience performing diverse administrative duties.

Responsibilities

  • Greet and welcome guests and employees in a professional and friendly manner.
  • Maintain building security by following safety procedures and controlling access via the reception desk. Manage the secure entry, buzz people into the building, check in guests or vendors, inform staff of their presence or escort guests and vendors to appropriate staff member or program
  • Answer and direct phone calls and in-person inquiries in a polite and professional manner, maintaining confidentiality regarding program related inquiries.
  • Manage the front desk area, keeping it clean and presentable.
  • Work in collaboration with the Head Start Admin Assistant/Receptionist to ensure proper front desk coverage during business hours.
  • Act as point of contact for scheduling the Poldine Carlo Building conference and training rooms.
  • Receive, sort, and distribute mail and deliveries.
  • Assist Executive Coordinator with preparations for board meetings, annual membership meetings, and the FNA potlatch.
  • Respond to inquiries for Birch Hill cemetery plots by initiating applications, collecting payment, and coordinating with appropriate FNA staff for plot selection/assignment, and proper recording of records.
  • Serve as trustee for petty cash, maintaining accurate and timely records of transactions.
  • Assist Administration staff, as needed.
  • Prepares, processes and logs purchase orders.
  • Maintain office supplies for Administration.
  • Maintain general office equipment for the Poldine Carlo Building.
  • Perform other job-related duties as assigned.
