The Receptionist/Admin Assistant will perform administrative tasks and services to support effective and efficient operations throughout the agency.

Requirements

  • Minimum age of 18.
  • Prior experience with administrative job duties preferred.
  • High School Diploma or GED required.
  • General Flexibility.
  • Valid Driver’s License, required.
  • Assisting with toileting and hygiene, which could involve lifting (as nature of tasks may vary based on the individuals being supported).

Responsibilities

  • Front Desk Management: Answering and directing incoming calls promptly and professionally, ensuring all inquiries are addressed or routed appropriately. Greeting and assisting visitors, creating a positive first impression. Overseeing guest management and keeping track of scheduled appointments.
  • Administrative Support: Supporting special projects and tasks, including purchasing, event coordination, clerical organization, and other related duties. Handling essential agency-wide tasks, such as check distribution, mail management, and posting communications. Assisting Human Resources by updating employee information, managing compliance reporting, documenting communications, and supporting other administrative projects. Tracking document signatures and ensuring timely reporting.
  • Facility Oversight: Ensuring the building operates safely and efficiently by opening and/or closing the facility as needed. Monitoring cleanliness in communal areas, including the lobby, kitchen, and bathrooms, addressing or reporting any maintenance or cleanliness issues promptly.
  • Program and Task Monitoring: Implementing and monitoring new programs and tasks as needed, ensuring effective execution. Ensuring workloads are completed promptly, meeting deadlines and providing proper communication or follow-up when necessary.
  • Technology and Resource Tracking: Tracking and maintaining the agency's inventory of technology and resources in collaboration with HR and team members. Ensuring all tools and equipment are accounted for and managed efficiently.
  • Communication and Reporting: Promptly communicating and escalating issues that require attention, ensuring proper follow-up and resolution. Assisting with reporting and compliance tracking, maintaining accurate records and delivering timely updates.
  • Other Duties: Performing any additional assignments deemed necessary by the Supervisor to support the agency's evolving needs and priorities.
