About The Position

The Real Estate Office Administrator is responsible for administrative functions for the Onni Chicago corporate office, asset management, and development/construction teams. The Real Estate Office Administrator will manage front desk operations, administrative tasks, and respond to inquiries via phone and e-mail. This role may involve the use of artificial intelligence (AI) tools to support research, analysis, content development, design, reporting, or operational efficiency. Employees are expected to use AI responsibly and in compliance with company policies, data privacy requirements, confidentiality obligations, and applicable laws. All AI-generated or AI-assisted outputs must be reviewed for accuracy, quality, and appropriateness before use. Employees are also expected to disclose when AI tools have been used in the creation of work and must not present AI-generated content as solely their own original work.

Requirements

  • Experience as receptionist with high call volume preferred
  • Strong time management skills
  • Ability to multi-task
  • Problem solving skills
  • High learning aptitude and interest in all areas of real estate
  • Self-starter
  • Works well in team and individual based environment
  • Proficient in Microsoft Office, Word, & Excel

Responsibilities

  • Provide full-time switchboard reception dealing with high call volumes
  • Operate phone system efficiently including adding or deleting users, change greetings, etc.
  • Open, stamp, sort, and distribute all incoming mail to recipients in a timely manner
  • Ensure all outgoing mail is sent out daily with sufficient postage
  • Monitor courier request forms and arrange for courier pick up/drop off
  • Send and receive incoming/outcoming mail via courier
  • Maintain the mail room and office supplies
  • Prepare labels, letters, file folders, or any other correspondence as required
  • Photocopy, bind, or fax documents as required
  • Ensure coffee bar and kitchen area is functional and tidy
  • Ensure photocopiers are stocked with paper throughout the day and monitor toners
  • Ensure meeting rooms, boardrooms, lobby, hallway, and lunchroom are tidy at all times
  • Issue PO and review invoices
  • Ensure supply areas are organized
  • Monitor ticketing system, execute tasks as assigned and log internal/external notes
  • Assist office coordinators as needed with miscellaneous tasks related to events, company holiday parties, and travel.
  • Perform all other receptionist and other office duties as required
