About The Position

Provides office and administrative support to the Radiology Department, ensuring efficient office operations. This role involves checking in and processing patients, handling pre-certification and scheduling, processing departmental reports and requests, and providing support for technical staff. The position also requires customer service support for internal and external customers by efficiently performing a wide variety of tasks, including utilizing Digital and Picture and Archive Communication System (PACS) technology.

Requirements

  • High School Diploma Required.
  • One to three (1-3) years of experience in a health care environment preferred.
  • Demonstrates ability to work well with the public and in a fast-paced environment.
  • Familiarity with Meditech preferred.
  • Keyboarding skills.
  • Excellent communication skills.
  • Previous scheduling experience preferred.
  • Excellent proven communication skills for interactions with radiologists, patients, employees, physician offices, and management.
  • Ability to use independent judgment.

Responsibilities

  • Courteously and professionally processes patients in and out of the department, obtaining necessary documentation for insurance authorization and pre-certification. Demonstrates knowledge of existing insurance requirements and enters orders in Meditech.
  • Accurately schedules patient appointments and coordinates all necessary follow-up for patients, including scheduling with other services. Ensures correct exam information is entered for each patient. Enters lab orders for all interventional patients and calls patients with lab results when requested. Registers and orders medication doses for Nuclear Medicine patients on PET/CT National Oncology Registry (NORP). Communicates with MD offices.
  • Screens and records all incoming calls to ensure that all staff receive accurate and concise information and customers report satisfaction with response. Differentiates urgent from routine calls and follows up appropriately. Minimizes use of voicemail by answering calls in a timely manner.
  • Ensures that medical records and information are kept secure and confidential at all times.
  • Sets up, organizes, and maintains ongoing systems, such as files, reports, and record-keeping systems, to ensure efficient operations.
  • Performs secretarial support functions as assigned by the Manager of Radiology Support, such as supply ordering, processing of requests, and maintaining and updating departmental information.
  • Contributes to meeting the fluctuating staffing needs of the department by being flexible in own assignments and work schedules when required. Demonstrates ability to multitask throughout the workday.
  • Maintains computer skills and adapts well to upgrades in Meditech and other software.
  • Responds to typing, copying, and faxing needs in an efficient manner.
  • Prints daily schedules and matches with scanned physician orders. Enters CPT codes on physician's orders.
  • Maintains a clean and healthy environment for staff and patients, including the waiting room, reception area, and file room.
  • Unloads and reloads multiviewer at designated times in the Mammography Department.
  • Calls for outside mammography films.
  • Makes reminder calls to patients for next-day mammography appointments. Calls and preps patients for exams.
  • Screens MRI patients, checking for implants, pacemakers, metal tattoos, and last menstrual period.
  • Accesses reports and other patient or exam data via the Radiology Information System, PACS, and related software systems.
  • Reprints and packages hard copy of images, electronic files, or CDs via PACS and Kinetdx for distribution and delivery to physician offices and/or patients, utilizing proper quality assurance measures. Contacts patients for film pick-up and/or delivers films to the Radiology Department for pick-up. Loads film into the 4500 Laser Printer as needed.
  • Meets performance expectations for customer service, teamwork, resource utilization, and staff and self-development as outlined in the performance review.
  • Performs other duties as assigned or directed to ensure smooth operation of the department/unit.
