About The Position

This role serves as the backbone of the support structure for the Radiation Control Program team, performing essential functions for a busy office environment. Responsibilities include using technology for payment processing, invoicing, registration investigation, and database maintenance. A key aspect of this position is providing excellent customer service to the public and the regulated community. The work is diverse, involving various facilities and people across Maine. It is a small, supportive team environment with opportunities for training and skill development. The tasks vary based on inspector priorities and the time of year, ensuring no two days are the same.

Requirements

  • Competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks.
  • Ability to use independent decision-making on appropriate processes, information to process, and actions to take in accordance with standard procedures.
  • Office Assistant I, Office Assistant II, and Office Associate I qualifications are assumed.
  • Ability to multitask, handle numerous responsibilities, prioritize tasks, and maintain productivity in a quick-moving workplace.
  • Efficiency with Microsoft Office, particularly Word and Excel.
  • Positive attitude and willingness to accept new challenges and tasks.

Responsibilities

  • Execute operational tasks and financial reconciliation reviews.
  • Assist with the processing of data, reports, registrations, and licenses for the Tanning, X-Ray, Radon, and Radioactive Materials sections.
  • Provide general office support including scanning, filing, copying, and distributing documents.
  • Communicate and guide programmatic issues through resolution.
  • Take ownership of office processes by identifying issues, isolating causes, and implementing improvements.
  • Participate in weekly Radiation Control Program staff meetings.
  • Partner with the Office Manager to coordinate schedules, organize documentation, and maintain a positive office setting.
