About The Position

The Front Office Assistant performs a variety of clerical duties and front office operations in support of patient care activities, ensuring efficient patient flow and continuous communication within the department, referring physician offices, and organization staff. This role involves interacting courteously with patients, their family members or surrogate decision makers, and the public according to established standards. Responsibilities include greeting visitors, answering telephones, potentially collecting copays, closing the cash drawer, and preparing month-end deposits. The assistant will collect initial demographic and clinical patient information, accurately entering it into the medical record, and compiling/preparing charts. Key duties also include assisting with patient scheduling coordination (confirmations, cancellations, rescheduling) and promptly communicating schedule changes to all appropriate locations and individuals, including clinical staff/supervisors. The role requires maintaining accurate information and utilizing various software for scheduling, charge entry, document finding/scanning, and patient data entry. Ensuring patient charts have all required paperwork before procedures and scheduling patient tests as directed by medical staff orders are also part of the duties. The position may require working in various departments as needed and assisting clinical staff with patients and family members, always maintaining patient confidentiality. Participation in the continuous quality improvement process and performing other duties as assigned are also expected.
