About The Position

The Quality Systems Specialist will provide effective and accurate Quality Systems and Food Safety administrative support to various departments, including Administration, Quality, Engineering, Maintenance, Tool Room, Shipping & Receiving, and Production at Kilgore facilities. This role is primarily focused on Document Control, ensuring the document control process is effective and efficient, and that documents are readily available and compliant with ISO, FSSC, and medical standards. The specialist will support the manufacturing organization by maintaining up-to-date, well-organized, and easily accessible documents, ensuring they are audit-ready. They will also drive the implementation of document-related activities, manage the annual Quality Training schedule, monitor completion goals, and assign training on quality improvement principles. Additionally, the role involves supporting and communicating Food Safety and Quality alerts, engaging in audits, and providing administrative support to Quality Engineers and the Quality Manager, including data analysis, root cause identification, and customer complaint investigations. The candidate will also work closely with the Production team to ensure optimal staff allocation and act as INFINITY software support. Adherence to food safety guidelines and participation in Quality/GMP Job Observations are required.

Requirements

  • Minimum education is an associate’s degree and three years experience, or equivalent work experience in a professional business environment working with people at all levels inside and outside the company.
  • Proficiency in grammar, composition, spelling, arithmetic, and office protocol.
  • Proficiency in Word, Excel, PowerPoint, Visio, Schedule Plus, and e-mail.
  • Ability to make independent decisions.
  • Strong organizational, time management and communication skills.
  • Capable of accepting and successfully completing projects requiring effective communication and coordination with Managers, Engineers and Operations personnel.
  • Good verbal and written communication skills.

Responsibilities

  • Provide effective and accurate Quality Systems and Food Safety administrative support.
  • Ensure the document control process is effective and efficient.
  • Ensure documents are readily available to users and comply with ISO, FSSC, and medical standards.
  • Maintain Document Control, keeping documents up-to-date, well-organized, and easily accessible.
  • Ensure documents are audit-ready for internal and external reviews.
  • Drive the implementation of actions that support document-related activities.
  • Sort, combine, and organize documents for review.
  • Facilitate the closure of process gaps in documentation.
  • Launch the Annual Quality Training schedule, monitor it, and escalate when completion goals are not achieved.
  • Assign training and education to new and existing staff on quality improvement principles, practices, and tools.
  • Support, document, and communicate Food Safety and Quality alerts.
  • Engage and support audits at both the external audits, ensuring compliance with established standards, identifying discrepancies, and recommending corrective actions.
  • Provide administrative support to the Quality Engineers and Quality Manager, including data, identifying root causes, and collaborating with relevant departments to support customer complaint investigations.
  • Work closely with the Production team to ensure optimal staff allocation.
  • Assess staffing needs, coordinate schedules, and address any conflicts to maintain efficient operations and meet production targets.
  • Act as INFINITY software support.
  • Follow all food safety guidelines while on the manufacturing floor.
  • Report any deviation from food safety protocol to the functional responsible personnel.
  • Perform bi-annual Quality/GMP Job Observations.
  • Comply with all OPEX (Operational Excellence) policies, procedures, and guidelines.
  • Complete all required training, audits, and compliance tools.
