About The Position

The Quality Project Coordinator is an entry-level position that supports the execution of quality improvement initiatives by assisting with project coordination, operational workflows, and administrative functions across the Quality department. This role focuses on supporting day-to-day project activities, tracking tasks, and maintaining documentation, ensuring that quality initiatives run efficiently. It is an excellent opportunity for individuals looking to build experience in healthcare quality, HEDIS, and project coordination. This position also centralizes administrative responsibilities previously distributed across multiple roles, improving efficiency and allowing analysts and leadership to focus on strategic work.

Requirements

  • Associate’s or Bachelor’s degree preferred.
  • 1–2 years of experience in healthcare administration, coordination, or similar support role.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines in a structured environment.
  • Ability to track tasks, maintain logs, and follow up on assignments with attention to detail.
  • Comfortable supporting projects through coordination, documentation, and communication.
  • Ability to follow established processes and escalate issues when needed.
  • Strong communication skills with the ability to interact professionally with internal teams and external partners.
  • Basic proficiency in Microsoft Excel, Word, and shared document platforms.
  • Detail-oriented with strong follow-through and reliability.
  • Willingness to learn healthcare quality programs (HEDIS, Stars, Medicaid).

Nice To Haves

  • Experience in Medicare Advantage, Medicaid, or healthcare quality is a plus.

Responsibilities

  • Assist in coordinating timelines, deliverables, and milestones for quality initiatives (HEDIS, QIPs, Stars).
  • Maintain project trackers, logs, and status reports under direction of leadership.
  • Follow up on assigned action items and provide updates on task status.
  • Support preparation of QIC and committee materials.
  • Escalate issues or delays to leadership as needed.
  • Maintain and organize quality documentation and files.
  • Manage intake, tracking, and organization of medical records.
  • Perform scanning, indexing, and document management activities.
  • Ensure proper storage and retrieval of records in compliance with HIPAA.
  • Assist with medical record retrieval coordination and tracking.
  • Support outreach scheduling and logistics (providers/members).
  • Maintain provider contact databases and outreach logs.
  • Assist with audit preparation and documentation collection.
  • Compile reports, meeting materials, and presentations.
  • Document meeting minutes, decisions, and action items.
  • Maintain policies, procedures, and version control.
  • Ensure accuracy, completeness, and consistency of documentation.
  • Assist with communication between Quality, Provider Relations, Pharmacy, and vendors.
  • Support coordination of tasks across departments.
  • Ensure timely follow-up on assigned operational activities.
