About The Position

Serve as Administrator for the company’s electronic documentation database. Coordinate activities to gather information, document best practices, and distribute the information to the correct parties so accurate documentation is maintained throughout the company. This role involves system administration of the Master Control documentation program, ensuring the structure of the system is organized through management of vaults, infocard types, routes, and roles. It also ensures the system executes approval/training tasks properly and troubleshoots issues when the system fails. The specialist will coordinate with appropriate individuals to develop and maintain work instructions and visual aids for Oil and Air Plants, establish approval and training routings for all documents, and ensure current versions of work instructions and visual aides are posted as required, including the removal of obsolete documents. The role also includes maintaining form standardization of various documents and entering them into Master Control, participating in plant internal audits, and ensuring document control and record retention processes conform to IATF 16949 and customer standards. This involves working with records responsible members from each functional area to identify record retention requirements and storage locations. Other duties as assigned.

Requirements

  • High School graduate or equivalency.
  • 0 -2 years manufacturing environment or technical field.
  • Communication skills to interact with personnel inside the organization across multiple disciplines.
  • Basic knowledge of PC applications and MS Office Software.
  • Handle multiple priorities in a timely manner.
  • Team player.
  • Well organized, and self-directed.
  • Dependable and trustworthy to handle sensitive and confidential information.
  • Basic knowledge of manufacturing principles and terminology.
  • Able to gain familiarity and understanding of pertinent ISO requirements.
  • Must be able to maintain satisfactory record of attendance and professional conduct.

Responsibilities

  • Coordinates with appropriate individuals to develop and maintain work instructions and visuals aids for Oil and Air Plants.
  • Establishes approval and training routings for all documents.
  • Ensures the current versions of work instructions and visual aides are posted as required.
  • This includes the removal of obsolete documents.
