About The Position

Smith Industries is seeking an experienced Quality Assurance Assistant to join their team. This is a high-volume, fast-moving role requiring a professional who can start quickly and possesses a strong work ethic, keen attention to detail, and the ability to manage multiple priorities effectively. The role involves significant data management, documentation creation, and coordination with various stakeholders to ensure quality standards are met.

Requirements

  • 1–2 years of experience in a Quality Assurance, administrative, or compliance role preferred.
  • Proficiency in Microsoft Word and Excel is required.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to manage multiple projects simultaneously under tight deadlines.
  • Highly organized with strong time management skills and a professional attitude.
  • A true team player with a high level of dedication, willingness to learn, reliability, and honesty.
  • High school diploma or GED required.

Nice To Haves

  • Familiarity with AI technology usage is a plus.
  • Basic knowledge of ASME and API codes is a plus.
  • Willingness to work a flexible schedule.
  • Associate's degree or technical certification preferred.

Responsibilities

  • Input and manage data for Quality Assurance and maintain accurate electronic and manual filing systems.
  • Register code vessels with The National Board through our AIW/3rd party inspection company.
  • Create and maintain Microsoft Word, Excel, and PDF QMS documentation for each product manufactured.
  • Learn and navigate internal software systems (e.g., SharePoint or other electronic systems).
  • Support supervisors and managers in meeting deadlines with accuracy and timeliness.
  • Maintain consistent communication with leadership, proactively reporting issues or changes.
  • Manage and organize all project quality documents, including inspection records, test records, material certifications, and as-built packages to meet contract and client requirements for delivery.
  • Coordinate document submittals and track approval status with clients and third-party inspectors.
  • Provide occasional backup support for customer service and receptionist functions, as needed, without interfering with core QA duties.
  • Follow all safety policies and procedures, including PPE requirements, incident reporting, and stop-work authority when safety protocols cannot be met.
