About The Position

Are you organized, detail-oriented, and passionate about keeping everything in its right place? We're looking for a friendly and proactive Administrative Assistant to join our team. This position is a full-time Fixed term - (3 months) role. In this role, you will be the backbone of our document management system, helping us maintain an efficient, organized, and smooth-running office. Requirements

  • THOROUGHNESS/DETAIL ORIENTED – Ensuring that one’s own and others’ work ad information are complete and accurate; carefully preparing for meetings and presentations following up with others to ensure that agreements and commitments have been fulfilled.

  • Tech-savvy, with the ability to easily learn new software and tools
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable using document management systems like Zen
  • Ability to work independently and stay on top of multiple tasks at once
  • A positive attitude and the ability to collaborate with different teams

  • Previous administrative experience is a plus, but not required—we’re happy to train the right person!

Responsibilities

  • Scanning Documents: You'll be the scanning pro, ensuring that physical documents are digitized with precision, allowing us to keep everything accessible and organized in a digital format.
  • Uploading Documents into Zen: You'll upload scanned documents into Zen, making sure everything is securely stored and easily retrievable for the team when they need it most.
  • Filing: Keeping files neat and orderly is your superpower. You'll maintain a well-structured filing system (both physical and digital) so everyone knows exactly where to find what they need.
  • Perform Checks: You’ll take extra care in reviewing documents to ensure everything is accounted for and that files are complete and properly organized.
  • Purging Documents: We all know clutter is the enemy. You'll be responsible for purging outdated or unnecessary documents while ensuring compliance with company guidelines and maintaining the integrity of our systems.
