About The Position

This role serves as the primary point of contact for incoming calls and visitors, manages administrative tasks for the purchasing department, and ensures the smooth operation of the reception area. Key responsibilities include handling calls, greeting visitors, maintaining files, coordinating hospitality, managing mail, ordering supplies, and assisting buyers with purchase orders. The position requires strong organizational skills, proficiency in relevant software, and the ability to handle diverse administrative duties.

Requirements

  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Knowledge of Cribware Database software; SAP, MP2 Manufacturing software and Excel Spreadsheet software.

Responsibilities

  • Serve as the first point of contact by answering and directing incoming calls, paging employees as needed, and appropriately screening calls to shop personnel.
  • Greet and assist all visitors to the facility; maintain the visitor welcome board and reception area systems.
  • Maintain accurate and organized purchasing department files, both physical and electronic.
  • Coordinate visitor hospitality, including arranging catering, purchasing food and supplies, setting up meeting spaces, and handling post-meeting cleanup.
  • Arrange travel accommodations for guests, including hotel reservations, and process related invoices as needed.
  • Manage mail operations, including outgoing mail, interoffice distribution, and maintenance of postal equipment.
  • Order and maintain inventory of office and kitchen supplies.
  • Enter and receive purchase orders as requested; assist buyers with purchase order entry and tracking of open orders.
  • Process supply purchases through CribMaster.
  • Maintain and track Certificates of Insurance for on-site contractors.
  • Update communication boards and other internal displays as required.
  • Ensure all visitor requirements are met, including completion of safety documentation.
  • Perform other related duties as assigned.
