About The Position

The Purchase Order System Specialist supports the flow of merchandise from vendor partners to customers by working with Buying, Planning, Distribution, Traffic, IT, and vendor teams. The role ensures purchase orders are created and maintained accurately and resolves issues that could affect purchase order processing or product receipt. It also supports data integrity, SOX compliance, UPC maintenance, and continuous improvement of operational processes and systems.

Requirements

• Bachelor's degree required.
• Microsoft Office skills, including Excel, Outlook, PowerPoint, and Word.
• Basic understanding of retail metrics.
• Self-motivated, with the ability to take initiative and work independently.
• Strong verbal and written communication skills.
• Demonstrated problem-solving and critical-thinking abilities.
• Ability to work effectively in a fast-paced, evolving environment while managing changing priorities.
• Strong organizational skills and ability to manage multiple tasks and projects simultaneously.
• High degree of accuracy and attention to detail.

Nice To Haves

• Previous retail experience preferred.
• Knowledge of EDI and UPC codes preferred.

Responsibilities

• Serve as a point of contact between internal buying teams and external vendor partners to support purchase-order creation, maintenance, and communication.
• Monitor purchase-order activity and help ensure orders move efficiently through each stage of the process.
• Maintain detailed records and communicate clearly throughout the purchase-order lifecycle.
• Maintain accurate product and purchase-order information in company systems.
• Support data-integrity standards and compliance with SOX requirements.
• Download, validate, and maintain UPC code information and link UPCs to DSW styles in the system.
• Research and resolve issues that may affect purchase-order processing or product receipt.
• Collaborate with Distribution Center, Traffic, Planning, IT, Buying teams, and vendors to identify solutions and remove obstacles.
• Escalate and communicate issues appropriately to keep business processes moving forward.
• Identify opportunities to improve processes, workflows, and system efficiencies.
• Share recommendations and solutions that enhance operational effectiveness and accuracy.
