About The Position

GWCCA’s Department of Public Safety is currently seeking a Public Safety Coordinator to assist its team and support public safety services function. This position is primarily responsible for the administrative services including but not limited to typing, filing, recording meeting minutes, assisting with staff scheduling, and voice and electronic communication. The ideal candidate will demonstrate the highest level of professional work ethics and standards to plan, coordinate, and communicate assignments with good judgment, intelligence, initiative and an excellent ability to work under pressure. This role will report into the team’s Director of Public Safety.

Requirements

  • Minimum high school education or General education (GED)
  • Minimum three (3) years of experience in an administrative role or closely related position
  • Must be proficient in Microsoft Excel, Word, PowerPoint, and Outlook
  • Ability to prioritize tasks & to manage workload using own initiative
  • Ability to multi-task & work under pressure with limited resources
  • High degree of integrity and compliance
  • Ability to build and maintain customer focused relationships with internal and external customers
  • Thoroughness in task approach, follow-up & completion; Excellent computer skills
  • Self-awareness
  • Assess, weigh and manage risk in the face of uncertainty
  • Ability to communicate effectively and to handle multiple tasks simultaneously.

Responsibilities

  • Provide and oversee a diverse range of activities for DPS that requires specialized knowledge and comprehensive administrative, organizational and operational skills
  • Provide administrative assistance, guidance and support to Public Safety Command Staff, Director of Public Safety, and the Public Safety Team
  • Assist Off-duty and Part-time personnel with ADP/ payroll/ time clock systems
  • Confirm payroll status on payroll processing days for all Public Safety employees (part-time/full-time/ off duty police officers)
  • Review and help edit written materials and presentations prepared by the Department of Public Safety
  • Attend meetings to take notes and follow-up on any action items to be completed.
  • Create invoices for events held at MBS and GWCC where DPS assets were involved; place invoices in Ungerboeck software system for processing
  • Generate reports from Ungerboeck database as directed
  • Create strategies to streamline financial processes of the Department.
  • Assure accuracy in billings for the department
  • Act as the Department of Public Safety liaison for other departments in the Authority
  • Publish schedules of events needing staffing of Off Duty Police Officers (ODPD); utilize departmental scheduling software to post and fill event vacancies
  • Distribute incoming mail to various DPS personnel
  • Organize office events
  • Post weekly schedules for Public Safety team
  • Order and manage inventory of department supplies
  • Manage uniform allocation to Team members
  • Administer department employee engagement programs as directed by Director of Public Safety.
  • Maintain a professional image that represents the philosophy of the Georgia World Congress Center Authority with emphasis on providing customers with the highest level of customer service deemed possible.
