About The Position

Assist in day-to-day records administration and management of the Department of Transportation (DOT) Drug and Alcohol Program and DOT Recertification medical examinations as required by federal and state regulations to ensure current and accurate records. Core functions include FTA Records Management of all testing and recertification medical exam documents in accordance with FTA and METRO’s records management guidelines and procedures. Assists in all technical work and with internal/external audits and maintains current records of all DOT tests in a confidential manner. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.

Requirements

  • High school diploma or GED is required.
  • Minimum five (5) years’ experience of working in an administrative support function, to include one (1) year experience document/records management.
  • Good communications ([written/verbal) and interpersonal skills.
  • Good critical thinking, analytical and organizational skills.
  • IT literate with experience using databases.
  • Microsoft Office (Word, Outlook, Excel) and other computerized systems.
  • Must be able to multitask and work independently, prioritize requirement and remain calm in a busy environment.

Nice To Haves

  • Associates degree in Business Administration, Human Resources, or a related degree is preferred.

Responsibilities

  • Responsible for ensuring all drug and alcohol results, control, and custody forms (CCFs) and alcohol test forms (ATFs) are properly completed and entered in the drug and alcohol database on a weekly basis.
  • Opens, sorts, and distributes incoming correspondence, including faxes and emails
  • Maintains weekly reasons for not testing documents; keep contact with facilities to ensure documents are submitted in a timely manner.
  • Retrieves and matches drug and alcohol testing results with chain of custody forms for all testing categories daily.
  • Retrieves information from the filing system when requested.
  • Assists with gathering and preparing monthly Drug and Alcohol Program Statistical reports.
  • Reviews testing documents and corrects any irregularities discovered throughout the records conciliation process. Maintains a monthly deficiency report identifying errors and corrective action taken.
  • Answers drug and alcohol hotline during business hours; provides employees with documents and information in a timely manner.
  • Receives, prepares, and coordinates documents for legal cases and human resources unemployment hearings; maintain proper files for requested and submitted documents in accordance with FTA regulations.
  • Maintains Drug and Alcohol Program Supervisor Training logs for FTA compliance along with training presentations.
  • Provides excellent customer service to METRO internal and external customers.
  • Promotes safety awareness and follows safety procedures in an effort to reduce or eliminate accidents
  • Applies SMS methods and principles in their daily routine and supports all aspects of the agency’s Public Transportation Agency Safety Plan (PTASP).
