About The Position

As a Provider Relations Specialist, you will play a key role in supporting provider onboarding, engagement, retention, and client growth initiatives. You will serve as a liaison between the organization, therapy providers, prospective clients, and referral sources. This role is responsible for fostering strong provider relationships, supporting family-provider matching, facilitating onboarding, resolving concerns, and enhancing the overall provider and client experience.

Requirements

  • Bachelor's degree in Business, Healthcare Administration, Communications, or a related field.
  • Experience working with referral sources, community partners, healthcare providers, or prospective clients.
  • Exceptional interpersonal and communication skills.
  • Strong problem-solving, organizational, and analytical abilities.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Proficient in Microsoft Office and other relevant software applications.

Responsibilities

  • Facilitate new provider orientation and ensure therapists have the resources needed to begin providing services successfully.
  • Collaborate with therapists to assign appropriate clients based on location, availability, specialty areas, and family needs.
  • Actively support therapists in building and maintaining their desired weekly caseload by monitoring availability, referrals, and placement opportunities.
  • Conduct ongoing outreach to families to facilitate timely scheduling of evaluations and treatment sessions.
  • Track provider caseload growth metrics and identify barriers that may delay therapist activation or client placement.
  • Communicate onboarding and caseload-building progress to providers, leadership, and internal stakeholders.
  • Identify and resolve onboarding, scheduling, or placement challenges to help therapists reach productivity goals as quickly as possible.
  • Conduct outbound calls, emails, and follow-up communications with prospective clients and referral sources.
  • Respond to inquiries from families seeking therapy services and provide information regarding available programs and service offerings.
  • Assist families with provider matching, referrals, onboarding, and ongoing communication.
  • Monitor provider capacity, availability, and service needs to ensure timely family placement.
  • Collaborate with Intake, Recruiting, Scheduling, and Clinical teams to ensure efficient placement and continuity of care.
  • Build and maintain strong, positive relationships with healthcare providers, including physicians, clinics, and other healthcare entities.
  • Serve as a primary point of contact for provider questions, concerns, and ongoing support needs.
  • Conduct regular provider outreach and check-ins to assess satisfaction, address challenges, and foster engagement.
  • Collaborate with providers to identify opportunities for practice growth and improved service delivery.
  • Promote company initiatives, resources, and programs designed to support provider success and retention.
  • Gather provider feedback and recommend process improvements based on trends and recurring concerns.
  • Communicate effectively with providers regarding services, policies, procedures, and operational updates.
  • Educate providers on internal systems, documentation processes, and available resources.
  • Develop and maintain onboarding materials, guides, and provider resource documents.
  • Support training initiatives and ongoing provider education efforts.
  • Investigate and resolve provider- and client-related concerns, ensuring prompt and effective solutions.
  • Collaborate with internal departments to address and escalate issues as needed while maintaining a focus on customer satisfaction.
  • Partner with leadership teams to improve the overall provider and family experience.
  • Track onboarding, engagement, outreach, and retention metrics.
  • Analyze provider and client engagement data to identify trends, opportunities for improvement, and areas of success.
  • Prepare and present reports to management on provider relations and growth-related key performance indicators.
  • Monitor provider satisfaction and engagement metrics and support retention initiatives.
  • Assist with outreach campaigns, provider referral programs, and community engagement efforts.
  • Provide training and support to providers on systems, tools, and resources to optimize their experience and improve efficiency.
