The Proposals & Marketing Manager will be the operational backbone of the sales and marketing function, ensuring proposals are managed efficiently, systems are running smoothly, and the brand remains sharp. This role involves supporting active pursuits with proposal coordination and content, as well as maintaining the administrative and marketing infrastructure. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced environment where systems are being built in real-time.

Requirements

  • 3–5 years of marketing or proposal coordination experience in AEC (architecture, engineering, or construction) or professional services.
  • Demonstrated experience managing RFP/RFQ responses end-to-end, including formatting and assembly.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe InDesign or equivalent layout tool.
  • CRM experience — data entry discipline and report generation (Deltek Vantagepoint, Ajera, Salesforce, or similar).
  • Exceptional organizational skills and the ability to manage multiple competing deadlines without handholding.
  • Strong written communication: clear, concise, professional prose with an eye for detail.

Nice To Haves

  • Familiarity with life sciences, manufacturing, or industrial facility project types.
  • Experience with SF330 federal qualification packages.
  • Background in or exposure to technical/engineering environments.
  • Comfort working directly with engineers and project managers to extract and translate technical content.
  • Prior experience supporting a BD or sales function, not just a pure marketing function.

Responsibilities

  • Manage the proposal calendar, including RFP deadlines, internal review milestones, and submission logistics.
  • Assemble complete proposal packages, including covers, tabs, resumes, project sheets, fee tables, and letters.
  • Maintain a library of current and accurate boilerplate content (firm overview, project descriptions, staff bios).
  • Format documents to meet client requirements and CP brand standards.
  • Log all active pursuits in CRM with stage, deadline, fee estimate, and Go/No-Go status.
  • Issue weekly pipeline reports to the Director of Sales & Marketing.
  • Track win/loss outcomes and maintain pursuit history for lessons-learned reviews.
  • Maintain current SF330s, SOQs, and prequalification packages by market.
  • Proactively update qualification packages when project experience, staff, or certifications change.
  • Enter and maintain contact records, project records, and interaction history in CRM.
  • Flag stale data and drive data hygiene across the sales team.
  • Build and distribute CRM reports (pipeline by sector, BD activity, proposal close rates).
  • Manage master versions of all proposal templates, cover letter formats, and presentation decks.
  • Ensure all staff resumes and project sheets are current and consistently formatted.
  • Coordinate with project managers to capture new project milestones and photography.
  • Own the marketing calendar, including proposal due dates, award submission windows, and event registrations.
  • Issue reminders and escalate conflicts to the Director of Sales & Marketing.
  • Update website content, including project pages, staff bios, and service descriptions.
  • Draft and schedule LinkedIn posts highlighting project wins, awards, and thought leadership.
  • Coordinate with leadership on messaging for new market entries or service launches.
  • Track award submission deadlines and manage the full submission process.
  • Write or assemble submission narratives using input from project teams.
  • Develop one-page project case studies for proposals and presentations.
  • Coordinate project site photography or rendering requests.
  • Handle registrations, booth reservations, sponsorships, and shipping for industry events.
  • Prepare attendee briefing materials and leave-behinds for events.
  • Track event ROI by logging contacts made, leads generated, and pursuits opened.
  • Coordinate client gifts, holiday mailings, and appreciation touchpoints.
  • Manage industry association memberships and renewal tracking.
