About The Position

Kuali is seeking an experienced Proposal Writer to lead the development of compelling, high-quality proposals across our full portfolio of higher education software solutions. Reporting into the Revenue organization, this role owns the end-to-end proposal process, partnering closely with Sales, Product, Marketing, Customer Success, Legal, Security, and subject matter experts to deliver persuasive, compliant, and customer-focused responses. The Proposal Writer plays a critical role in helping Kuali win new business by translating complex product capabilities into clear, compelling proposals that demonstrate the value of our solutions. Requirements

  • Bachelor's degree in English, Communications, Journalism, Marketing, Business, or a related field, or equivalent professional experience.
  • 3+ years of experience writing and managing proposals, RFP responses, or other complex business documents.
  • Exceptional writing, editing, proofreading, and verbal communication skills.
  • Demonstrated ability to manage multiple concurrent proposals while meeting aggressive deadlines.
  • Strong project management and organizational skills with exceptional attention to detail.
  • Experience collaborating across cross-functional teams to gather information and develop winning proposals.
  • Ability to understand technical concepts and communicate them clearly to non-technical audiences.
  • Experience developing and maintaining proposal content libraries and reusable response assets.
  • Proficiency with Microsoft Office and Google Workspace.

Nice To Haves

  • Experience with proposal management tools is a plus.
  • Experience in SaaS, enterprise software, or higher education technology is preferred.
  • Experience responding to public sector or higher education procurements is strongly preferred.

Responsibilities

  • Lead the end-to-end development of responses for RFPs, RFIs, RFQs, and other customer requests.
  • Write, edit, and refine persuasive proposal content by collaborating with subject matter experts across the organization.
  • Manage proposal schedules, milestones, and submission deadlines to ensure timely, compliant delivery.
  • Maintain and continuously improve Kuali's proposal content library, templates, and response database.
  • Ensure all proposals meet customer requirements while maintaining consistency with Kuali's messaging, branding, and strategic positioning.
  • Coordinate cross-functional reviews with Sales, Product, Security, Legal, Finance, Marketing, and Customer Success.
  • Perform rigorous quality assurance reviews to ensure proposals are accurate, complete, and professionally presented.
  • Conduct post-submission reviews and competitive analysis to continuously improve proposal quality and win rates, including reviewing publicly available procurement information where appropriate.
  • Support strategic pursuits by tailoring messaging to customer priorities and competitive positioning.
  • Contribute to ongoing improvements in proposal processes, tools, and best practices that increase efficiency and quality.
  • Support other revenue initiatives during periods of lower proposal activity.
