About The Position

The Proposal Specialist supports Evergreen's proposal development efforts by coordinating the operational execution of RFP responses, proposals, and related sales materials. This role maintains timelines, prioritizes deliverables, organizes content, and facilitates cross-functional collaboration to ensure proposals move efficiently from intake through client submission. This role also supports the development and maintenance of the proposal content library and case study library, ensuring reusable materials and client success stories are organized, accurate, and readily accessible. The Proposal Specialist exercises independent judgment in managing proposal workflows, identifying risks, and ensuring submission requirements and deadlines are met. The Proposal Specialist actively contributes to our culture of belonging, where everyone feels welcome and supported. Requirements

  • Proficiency in core enterprise systems (i.e. O365, HubSpot & Workday), the ability to learn and effectively utilize role-specific systems and tools.
  • Aptitude for learning and applying AI-enabled tools and emerging technologies.

  • Two or more years of related writing experience in proposal coordination, sales operations, project coordination, or a similar role, with an understanding of healthcare technology professional services and solutions preferred.
  • Experience coordinating proposal timelines and collaborating with cross-functional stakeholders.
  • Advanced document development, editing, and design skills, with the ability to create polished, visually engaging, and brand-consistent client-ready deliverables.
  • Strong written communication skills, with the ability to translate complex information into clear, concise, client-ready content.
  • Experience working with shared content libraries or document management systems.

Responsibilities

  • Proposal coordination and support — manage intake, tracking, and timelines to keep submissions on schedule.
  • Proposal development support — assist in drafting and assembling client-ready deliverables.
  • Proposal content and library management — maintain templates, responses, and reusable materials.
  • Case study maintenance — maintain client success stories, testimonials, and reference materials for sales and marketing use.
  • Partner closely with Evergreen’s Proposal Manager to coordinate the intake and development of RFP responses, proposals, and related sales materials.
  • Independently manage proposal timelines, prioritize competing deadlines, and resolve scheduling or process conflicts to ensure successful submission outcomes.
  • Facilitate communication and follow-ups across cross-functional contributors and stakeholders.
  • Coordinate proposal-related meetings, including scheduling, agenda preparation, and follow-up on action items and decisions.
  • Manage proposal submission logistics, including electronic submission portals and compliance requirements.
  • Leverage available technology to streamline proposal coordination, improve content quality, and accelerate turnaround.
  • Support tracking and reporting of proposal pipeline activity and submission status.
  • Exercise discretion and independent judgment in coordinating proposal activities, managing competing priorities, identifying submission risks, and recommending process improvements.
  • Assist with drafting proposal content, including executive summaries, company overviews, and case studies.
  • Create, gather, and organize information from internal teams, content libraries, prior submissions, and external sources to ensure accurate, complete, and well-supported proposal responses.
  • Support the development and formatting of presentations, pitch decks, and other client-facing materials.
  • Perform quality reviews to ensure proposal accuracy, compliance, and overall quality.
  • Assemble and package final proposal deliverables for internal review and client submission.
  • Maintain proposal templates, formatting standards, and reusable response content.
  • Organize and manage the proposal content library, including past proposals, boilerplate responses, and supporting materials.
  • Ensure proposal templates are accurate, complete, consistent, and professionally formatted.
  • Contribute to continuous improvement of proposal processes, tools, templates, and workflows to enhance efficiency and collaboration.
  • Maintain and update client case studies, customer stories, and reference materials.
  • Partner with internal teams to capture and document client success stories and reusable content assets.
