About The Position

The Proposal Coordinator will play a pivotal role in supporting the proposal development process by organizing, maintaining, and optimizing content and knowledge resources. This individual will ensure that proposal teams have timely access to accurate, relevant, and reusable content. The ideal candidate will have a strong background in content management, knowledge systems, and a keen eye for detail, with the ability to collaborate across teams in a fast-paced environment.

Requirements

  • Bachelor's degree in Marketing, Communications, Journalism, English, or a related field, or equivalent experience.
  • 1-4 years of related experience.
  • Microsoft Office proficiency required.

Nice To Haves

  • Interest or experience in the energy industry a plus.
  • SharePoint, CRM, Adobe, Graphic Design, Word Press experience a plus.

Responsibilities

  • Maintain and update a central repository of proposal content, including boilerplate text, CVs, past performance references, and standard operating procedures.
  • Organize and tag content using taxonomy and metadata standards for easy retrieval.
  • Coordinate version control to ensure content accuracy and consistency.
  • Capture and curate lessons learned, win themes, and proposal debriefs to improve future submissions.
  • Collaborate with subject matter experts to collect and structure reusable knowledge assets.
  • Develop and maintain a knowledge base (FAQs, templates, best practices) for proposal writers and contributors.
  • Support the development of proposals by identifying, retrieving, and adapting relevant past content.
  • Assist with formatting, editing, and compliance checks for proposal content.
  • Create and maintain proposal content libraries in SharePoint.
  • Work closely with proposal managers, technical leads, and writers to gather and refine content.
  • Serve as a point of contact for content requests during live proposal efforts.
  • Facilitate training sessions and onboarding for team members on content/knowledge management tools and processes.
