About The Position

The CEBS Property Support Retention Specialist will be responsible for communicating the Record Retention Policy and the steps required to document owners for processing incoming documents to the Warehouse. This role involves delivering and retrieving various documents upon request from Las Vegas properties, including Accounting, Internal Audit, Compliance (Gaming Control Board), and returning them to the warehouse using the records inventory database. The specialist will utilize the Record Inventory Database to identify records that have reached their destruction date, complete the necessary steps to create a destruction request using CMT (Close Management Tool), and communicate follow-ups and updates as needed. This position requires applying process consulting skills to identify opportunities and execute project plans within the retention warehouse and across the organization. The role drives consistency and efficiency in daily operations and project execution, assists in developing and ensuring the execution of process improvements, and works with document owners to plan and lead document destruction projects. The specialist will provide insight and guidance, communicate key lessons learned and best practices, and assist in analyzing and assessing technologies for Caesars’ retention needs. Establishing and maintaining key partnerships to drive retention policy, initiatives, and destruction projects is crucial. Responsibilities include moving boxes, capturing document information using equipment, uploading to the database, and manually inputting data into spreadsheets. Processing labeled boxes into the records database, planting and extracting boxes, and handling sensitive documents with a high level of care are also key duties.

Requirements

  • Excellent communication skills written and verbal
  • Valid Nevada Drivers License
  • Attention to detail with information provided on the document boxes and labels
  • Proficiency in Microsoft Office specifically Excel and web-based software
  • Be detail-oriented and ability to manage time and handle deadlines
  • Be able to stand on one’s feet for long periods of time, lift, push and low maneuvering mobility, ablet to participate with offsite travel projects.
  • Be able to lift and carry 40 to 50 pounds when needed
  • Physically mobile with reasonable accommodations, respond to visual and aural cues, operate in mentally and physically stressful situations; manual dexterity and coordination, safely operate company vehicles, professional usage of work phone and the safe operation of warehouse equipment, including mechanical lift, pallet jack, ladders (height tolerance), personal computer, fax machine and copy machine, and other related warehouse equipment.

Responsibilities

  • Communicate Record Retention Policy and steps to document owners needed to process incoming documents to the Warehouse.
  • Deliver and retrieve various documents upon request from Las Vegas properties including Accounting, Internal Audit, Compliance (Gaming Control Board) and the return to warehouse using the records inventory database.
  • Using the Record Inventory Database to identify records that have reached their destruction date and complete the appropriate steps to create a destruction request using CMT (Close Management Tool), communicate follow ups and updates as needed.
  • Apply the skills of process consulting to identify potential opportunities and execute project plans assigned within the retention warehouse and throughout the organization.
  • Drive consistency and efficiency in the execution of daily operations and all project plans.
  • Assist in the development and ensure execution of process improvement and streamline.
  • Work with the document owners to plan and lead document destruction projects and provide insight and guidance as necessary.
  • Communicate key lessons learned and best practices from company-wide, operational finance retention process improvements.
  • Assist in analyzing & assessing technologies to determine fit relative to Caesars’ retention needs, seek and share innovations and vision.
  • Establish, cultivate, and maintain key partnerships that are needed to drive retention policy, initiatives, and destruction projects.
  • Move empty and or full boxes when needed within the daily responsibilities of records retention and other assigned tasks.
  • Effectively use equipment to capture document information and successfully upload to data base and Input data manually into excel spreadsheets, word, outlook and all other related retention software and applications.
  • Process properly labeled boxes into the records data base and accurately plant and extract boxes as needed throughout the warehouse environment.
  • Using a high level of sensitivity process documents that contain valued and private information for retention, recall and destruction.
