About The Position

The Property Manager is responsible for achieving the financial and operational goals established for a portfolio of properties. This position is also accountable for ensuring the optimum operational and financial performance of the portfolio, including collections, tenant services, maintenance, revenue enhancing and other capital improvements, contracted services, administration and reporting, and safety and legal compliance. The Property Manager is responsible for complying with all state, federal and/or local laws relating to the management of the portfolio.

Requirements

  • At least 3 years of commercial property management experience.
  • MS Office skills (required).
  • Compliance with all state, federal and/or local laws relating to the management of the portfolio.

Nice To Haves

  • Bachelor’s Degree is preferred.
  • Hawaii Real Estate license preferred and may be required within one year of hire.
  • CSM/CPM certification preferred.
  • Yardi software skills (preferred).

Responsibilities

  • Achieve financial and operational goals for a portfolio of properties.
  • Ensure optimum operational and financial performance of the portfolio.
  • Manage collections, tenant services, maintenance, revenue enhancement, capital improvements, contracted services, administration, reporting, and safety/legal compliance.
  • Comply with all state, federal, and local laws related to property management.
  • Conduct physical property inspections.
  • Manage physical plant aspects (roof, security, lighting, parking, dumpster, landscaping, sweeping, etc.).
  • Work with insurance providers to eliminate potential liability.
  • Facilitate signage and ensure compliance with signage criteria.
  • Obtain competitive bids for service contracts and maintenance items.
  • Negotiate vendor contracts, supervise work, and review/approve contracts, lien waivers, and payment requests.
  • Facilitate strategic operations goals for the center.
  • Implement operational and compliance protocols.
  • Ensure compliance with zoning, environmental, sign codes, site plan, and other relevant use regulations.
  • Be aware of REA/OEA agreements.
  • Implement a preventive maintenance program tailored to property needs.
  • Work with internal groups to identify and implement long-term capital programs.
  • Provide 24-hour emergency on-call response.
  • Prepare monthly management reports (narrative, variance, property inspection, etc.).
  • Disclose future or potential problems at the center.
  • Participate in meetings or conference calls to discuss the center as scheduled.
  • Adhere to KPIs as established by Management.
  • Facilitate implementation of marketing and promotional programs.
  • Identify opportunities to enhance the center's market positioning.
  • Collect rents and other charges.
  • Review/approve/code invoices.
  • Manage budget preparation and variance.
  • Authorize property expenditures and manage expenses within defined limits.
  • Identify ways to enhance NOI through expense management and revenue opportunities.
  • Review tenant ledgers for discrepancies.
  • Work with accountants to prepare monthly financial statements.
  • Work with accountants to calculate and bill tenants for annual escalations of common area, insurance, and taxes.
  • Act as Landlord representative in dealings with tenants.
  • Ensure tenant compliance with lease requirements.
  • Coordinate landlord work for new leases with the Tenant Coordination group.
  • Deliver space to new tenants.
  • Solicit and monitor tenant sales.
  • Address tenant work orders and operations issues (roof leaks, plumbing, etc.) promptly.
  • Prepare CAM escrow adjustment letters.
  • Review/send out tenant statements.
  • Prepare default notices for delinquent tenants.
  • Evaluate and process tenant requests (SNDA, assignment, consents).
  • Coordinate legal action as necessary with the Legal group.
  • Participate in mediation/tenant hearings for evictions/defaults.
  • Interact with city/county officials on operational matters.
