About The Position

The Property Manager works to ensure Shelter House's properties are run in compliance with all applicable laws and rules, and in concert with Shelter House's mission. This role requires a detailed, diligent, and determined individual who believes in Shelter House’s mission to prevent and end homelessness in our community. The ideal candidate will possess strong analytical and problem-solving skills, excellent organizational and communication abilities, and a commitment to detailed record-keeping. The role also involves consensus building, flexibility, sound judgment, humility, cooperation, and a growth mindset.

Requirements

Responsibilities

  • Ensure all leasing activities comply with local, state, and federal regulations, grant requirements, Fair Housing laws, and landlord/tenant statutes.
  • Prepare and execute leases for new tenants, ensuring accuracy, timely completion, and clear communication of tenants' expectations, rights, and responsibilities.
  • Coordinate with Facilities & Maintenance and Program Managers to ensure units are ready for occupancy and move-ins proceed smoothly.
  • Maintain organized leasing files, including applications, verifications, addendums, and required disclosures.
  • Review and analyze rent collection data to identify trends, delinquencies, and follow-up needs.
  • Verify rent payments and receipts using property management software and maintain accurate financial records.
  • Process rent changes in accordance with applicable grants, funding requirements, and state and federal guidelines.
  • Prepare and deliver required notices, including late rent notices, maintenance entry notices, inspection notices, and any other communication required by law or policy.
  • Schedule, complete, and document internal unit inspections in coordination with the tenant, Facilities & Maintenance, and Program Staff.
  • Serve as the primary point of contact for all external inspections.
  • Track inspection outcomes, ensure timely corrections, and follow up until all items are resolved.
  • Oversee, manage, and maintain property management databases, including security deposit, rent and other fee tracking, maintenance requests, repair costs, lease documents, occupancy records, and tenant communications.
  • Ensure all documentation meets compliance and audit requirements for grants, housing programs, and regulatory bodies.
  • Prepare reports as requested for leadership, grant reporting, and compliance monitoring.
  • Work closely with Program Staff to coordinate tenant support needs, promote, and maintain housing stability.
  • Partner with Facilities & Maintenance to ensure timely completion of work orders and unit turnovers.
  • Communicate regularly with leadership regarding trends, challenges, and opportunities for improvement.
  • Participate in team meetings, case consultations, and cross-department collaborations.
  • Act as a role model for professional and ethical behavior.
  • Plan and organize work to accomplish the organization's goals efficiently and effectively.
  • Ensure team members understand their duties and performance expectations.
  • Provide team members with the materials and equipment needed to succeed.
  • Document performance and provide recognition for progress as well as feedback for improvement.
  • Provide annual performance evaluations, including future goals.

  • Orient employees to their position, including relevant Shelter House policies.

  • Work to address and resolve disagreements and grievances; ensure timely performance feedback and disciplinary action when necessary.
  • Collaborate with leadership team to recruit and hire direct reports.
