About The Position

Outsourcing Staffing Advantage is seeking a Property & Legal Operations Manager (Bilingual French - English) to play a critical role in managing property operations and legal processes. This individual will ensure smooth lease renewals, timely rent collection, and the effective handling of legal matters through strong attention to detail and a proactive approach. The role serves as the primary point of contact for tenants, attorneys, and courts, maintaining organized records and clear communication trails that support legal proceedings.

Requirements

  • Fluency in both English and French (mandatory for legal filings).
  • Strong Organizational Skills (“Top-of-Mind” Organization): Able to independently manage both their own calendar and the court’s calendar without requiring reminders.
  • Professional & Firm Communication: Capable of handling difficult conversations with tenants while maintaining a professional, firm, and composed approach.
  • Proactive Mindset: Anticipates potential issues in advance and takes initiative to prepare solutions (e.g., planning ahead for vacancies or operational needs).

Responsibilities

  • Prepare the entire evidence folder immediately as soon as a legal file is opened, ensuring all documents, proof of service, and lease copies are organized and "court-ready" at the start of the case.
  • Monitor lease expirations daily and prepare and send out renewal notices at least 5 months before the end date to ensure zero missed deadlines.
  • Monitor building software daily, send firm reminders via text and email on the 2nd of the month for rent collection, and maintain a clear "paper trail" of all communications for legal proof.
  • File cases with the court for non-payment or lease violations and manage the bailiff (huissier) process, keeping a detailed log of what was sent and when it was served.
  • Maintain a real-time Google Sheet of vacant units and upcoming move-outs and immediately respond to tenants trying to break leases, making it clear they remain fully responsible for the contract.
