About The Position

The University of Southern Mississippi is currently accepting applications for the position of Property Clerk. This role is responsible for preparing and maintaining the necessary data for recording USM’s personal property. The Property Clerk will handle the acquisition of property, tagging of property, distribution of property, and filing of proper documentation, as well as conducting inventory audits.

Requirements

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Valid Mississippi Driver's License.
  • Proficient in Microsoft Word and Excel.
  • Excellent oral and written communication skills.
  • Applicants must be currently authorized to work in the United States on a full-time basis without the need for visa sponsorship.

  • Previous experience with an asset management program.

Responsibilities

  • Prints and logs all purchase orders received meeting State guidelines.
  • Prints tags for and logs asset numbers assigned to each qualifying asset.
  • Maintains a database for all such transactions, updated weekly in the Property Accounting shared drive.
  • Assists in assigning asset numbers to all equipment purchases or donations that meet State guidelines.
  • Completes an Acquisition Receipt on each asset sent out.
  • Coordinates information needed on personal property for entry into the asset management program by the Senior Property Accounting Clerk.
  • Maintains filing system for all Purchase Orders, Acquisition Receipts, and Property Affidavits.
  • Prepares outdated documents for shredding according to the University Record Retention Policy.
  • Assists in removing asset numbers from assets when returned for repair or transferred to other institutions.
  • Maintains documentation of all tags removed until repairs are returned.
  • Updates information of repaired items, such as new serial numbers, and replaces tags upon return.
  • Reviews and researches outdated and incomplete purchase orders for final resolution.
  • Advises Property Accounting Supervisor of any issues requiring their attention.
  • Performs other duties as assigned.
