About The Position

The Property Clerk supports the Property Manager in maintaining the accuracy, accountability, and integrity of the U.S. Space & Rocket Center's State Property Program. This position is responsible for assisting with the tracking, inventory, transfer, documentation, and verification of state-owned assets in accordance with applicable State of Alabama regulations, internal policies, and established inventory control procedures. The Property Clerk works closely with departments throughout the Center to ensure property records remain current and accurate while providing administrative and operational support for inventory activities, audits, and warehouse operations.

Requirements

  • High school diploma or GED required.
  • Two to four years of experience in property management, inventory control, warehouse operations, accounting, purchasing, or a closely related field; or an equivalent combination of education and experience.
  • Experience maintaining accurate records and working with inventory management systems preferred.
  • Experience using barcode or inventory tracking systems is preferred.
  • Experience working with State property procedures is a plus.
  • Knowledge of inventory control principles and property accountability.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to accurately maintain records and documentation.
  • Strong written and verbal communication skills.
  • Ability to work independently while managing multiple priorities.
  • Ability to establish positive working relationships with employees across all departments.
  • Ability to maintain confidentiality.
  • Basic mathematical and analytical skills.
  • Ability to interpret policies and follow detailed procedures.
  • Proficiency with Microsoft Office applications including: Outlook Excel Word Teams
  • Must be authorized to work in the United States.
  • Must possess a valid driver's license with an acceptable driving record.
  • Must be able to successfully complete any required background screening.

Nice To Haves

  • Associate degree in Business Administration, Accounting, Supply Chain, Logistics, or a related field preferred.
  • Experience with inventory management software, ERP systems, or asset management software is preferred.

Responsibilities

  • Assist the Property Manager in maintaining accurate records for all state-owned property.
  • Receive, tag, and record newly acquired property in the property management system.
  • Assist with conducting annual and cyclical physical inventories of state-owned assets.
  • Verify asset locations and update records when equipment is relocated.
  • Assist in researching and locating missing or unaccounted-for property.
  • Prepare documentation for property transfers, surplus, disposals, cannibalization, and other asset transactions while ensuring proper approvals and chain of custody.
  • Maintain organized electronic and paper files supporting all property transactions.
  • Coordinate with department managers and employees regarding inventory activities, asset movement, and property accountability.
  • Assist with preparation for State of Alabama property audits and internal audits.
  • Reconcile inventory discrepancies and assist in resolving documentation issues.
  • Generate reports and maintain inventory spreadsheets as requested.
  • Assist with warehouse storage, organization, retrieval, and movement of state-owned equipment.
  • Operate handheld scanners and other inventory equipment.
  • Maintain inventory supplies including tags, labels, forms, and related materials.
  • Ensure compliance with State of Alabama property management regulations and USSRC policies.
  • Communicate professionally with employees regarding property procedures and inventory requirements.
  • Assist with special inventory projects and departmental initiatives.
  • Perform other duties as assigned.
  • Demonstrate a willingness to learn new systems, procedures, and regulations.
  • Work cooperatively as a member of the Finance and Administrative Services team.
  • Exercise sound judgment while maintaining confidentiality.
