About The Position

Denstock Management LLC is seeking a Property Administrator to work directly with on-site Property Managers and provide reliable administrative support for day-to-day property operations. This detail-oriented role is for someone who enjoys keeping records accurate, following through on open items, and helping residents and team members receive timely information.

Requirements

  • 2-3 years of property management in a leadership role (Leasing Manager, Assistant Manager).
  • High school diploma or equivalent required.
  • Administrative, customer service, accounting support, or related experience preferred.
  • Ability to communicate clearly in writing and by telephone.
  • Must be friendly, energetic, and outgoing.
  • Must be flexible, a self-starter, and able to multitask.
  • Must work well independently as well as in a team atmosphere.
  • Must be able to work in a fast-paced and customer service-oriented environment.
  • Must be reliable and follow through on commitments.
  • Must be able to maintain composure in difficult situations.
  • Must be trustworthy (maintain confidentiality) and exercise good judgment about what to say and when.

  • Occasional need to lift/carry items (office equipment, deliveries, files, etc.) weighing up to 10+ lbs.
  • Must be able to perform the following physical activities: Bend, Stoop, Squat, Push, Pull, Grasp, Turn, Reach Above Shoulder, Open / Close Doors, Filing, Lift Boxes / Equipment, Climb Stairs, Store / Retrieve Supplies, Writing / Typing.
  • Requires the ability to see in the normal visual range with or without correction; sufficient to read computer screens and printed documents.
  • Must be able to determine colors properly (because of the color-coded CRM system).
  • Requires the ability to hear in the normal audio range with or without correction; needs to communicate over the telephone and in person.

  • All duties and responsibilities must be conducted in accordance with the Fair Housing Act, Americans with Disabilities Act, Fair Credit Reporting Act, OSHA, and all other federal, state, and/or local laws pertaining to multi-family property management.
  • Must pass a criminal background check and a drug test.

Nice To Haves

  • OneSite or multifamily housing software experience is helpful but not required.

Responsibilities

  • Monitor designated email queues and follow up with the appropriate manager when an item has gone unanswered for 24 hours.
  • Assist with answering incoming calls as needed.
  • Support delinquency administration by sending letters, documenting activity, posting authorized late fees, and preparing unlawful detainer paperwork for Property Manager review and filing.
  • Review deposit, renewal, move-out reason, renter's insurance, utility, and asset reports; research discrepancies and keep records current.
  • Follow up on pending renewal decisions and complete approved month-to-month status updates at month-end.
  • Coordinate vendor onboarding and review vendor records and pricing for current information.
  • Review open work orders, obtain timeline updates from maintenance, and keep residents informed when service is delayed.
  • Complete assigned pre-close and month-end responsibilities accurately and on schedule.
